Hamilton, Canada ExtraServings, Inc. Full time

**About Extra Servings**:
Extra Servings is changing the way people dine out - we’re on a mission to connect the best local restaurants with flexible diners to create ’win wins’ for everyone. Starting in Hamilton and expanding quickly to the GTA and beyond, our app is poised to help thousands of full service restaurants attract profitable new diners when they have empty seats.

As we prepare to scale, we’re looking for an adaptable, proactive, and highly organized Executive Assistant to be the right hand of our Owner. This role will offer the unique opportunity to shape the development of the business, work across multiple departments, and gain exposure to all facets of a fast-paced startup environment. As the first official employee, you’ll play a critical role in both the day-to-day operations and long-term strategic growth of the company.

**Role Overview**:
As the Executive Assistant, you will wear many hats. You’ll work closely with the Owner to support executive functions, manage key operational tasks, and help create the systems and processes that will scale with the company. In this role, no two days will be the same—your responsibilities will evolve as the company grows, offering you opportunities to take on a variety of challenges and expand your skill set.

**Key Responsibilities**:
**Executive Support**:

- Coordinate travel arrangements, meetings, and event logistics.

**Operations and Project Management**:

- Help streamline operational processes by supporting key projects across departments (marketing, finance, HR, product).
- Track project timelines and deliverables, ensuring they align with company goals.
- Assist in setting up and maintaining business systems, tools, and resources (CRM, project management software, internal documentation).

**Internal Communications**:

- Serve as a point of contact for both internal teams and external stakeholders.
- Help maintain a positive and productive company culture through communications and small team events.
- Support the recruitment process by managing job postings, interview scheduling, and onboarding new employees (as the team grows).

**External Communications**:

- Reach out to media and arrange for and participate in interviews about Extra Servings
- Generate awareness about how people can use Extra Servings to save, every time they dine out.

**Business Strategy and Growth**:

- Assist in the research, analysis, and preparation for new business opportunities and partnerships
- Attend key meetings and take detailed notes, tracking action items and follow-ups.
- Manage confidential business information, maintaining a high level of discretion and trust.

**Key Qualifications**:
**Experience**:

- previous success in a role where you have developed relevant skills in administration, organization, communication, and problem-solving. Maybe you have been an Office Manager, a Project Manager, or an Event Planner.
- Knowledge of the restaurant business is also a strong asset.

**Skills**:

- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and thrive in a fast-paced, high-energy environment.
- Proficiency in tools such as Google Suite, Microsoft Office, Slack, Asana, or similar project management tools.
- Comfort with ambiguity and flexibility in a constantly evolving environment.

**Mindset**:

- A proactive and solutions-oriented approach with a “can-do” attitude.
- Comfortable working independently and taking ownership of key tasks.
- High emotional intelligence and ability to maintain professionalism under pressure.
- Entrepreneurial mindset and eagerness to contribute to the broader success of the company.

**Why Join Extra Servings?**
- **Variety and Challenge**: No two days will be the same. You'll have the opportunity to wear many hats and contribute to projects across the business, from strategic initiatives to hands-on execution.
- **Growth Opportunities**: As our first employee, you will play a central role in shaping the direction of the company and have opportunities for significant career growth as the business expands.
- **Work With a Visionary**: Directly work with the Owner and gain insights into the startup journey from the ground up.
- **Impact**: Be part of a small, close-knit team where your contributions will have a direct and visible impact on the company’s success.
