General Office Secretary

**Summary**:Under the general supervision of the Director, Transportation, provides clerical services to ensure the orderly and timely payment of all invoices for goods and services received by the Transportation Department. This role will be responsible for the creation of field trip assignments in support of the Router, performing administrative assignments as coordinated by the senior office secretary, and if applicable, assists staff, parents, and visitors.
**Responsibilities**:
- Reviews Transportation vendor statements for outstanding payable invoices and performs necessary follow-up
- Communicates with division personnel regarding Transportation accounts payable
- Reconciles Transportation vendor accounts with vendor statements, invoices and divisional records and communicates with vendors and division shop regarding discrepancies
- Handles the resolution of Transportation account discrepancies
- Maintains up-to-date Transportation vendor lists including contact information
- Verifies batches of payable invoices for posting, and post batches to general ledger. Maintains summaries of batch contents, process date and send date by invoice and purchase order number
- Prepares, reviews, and finalizes accounts payable payment authorizations
- Performs data entry tracking fuel for bus in routing software
- Assists Router with field trips assignments and entries into field trip software
- Performs other related duties as assigned, including those of higher or lower classifications within the Finance Department
Qualifications:
- Education and experience:_
- A high school diploma and at least 1 year of administrative experience or formal training in office administration OR an equivalent combination of experience and training
- Post-secondary accounting studies would be considered an asset
- Applied knowledge and technical skills in accounting
- Communication and interpersonal skills:_
- Excellent written and verbal communication skills
- Good public relations and communications skills with the ability to work cooperatively and harmoniously with colleagues, management, and be able to deal effectively with the public
- Respect confidentiality of work
- Computer skills:_
- Excellent knowledge of Office 365
- Word processing (minimum of 45 w.p.m.)
- Computer training and/or Experience with CIMS Connect or other mainframe computer accounting system
- Organization and time management:_
- Demonstrated organizational and time management skills with the ability to work with mínimal supervision
- High degree of initiative
- High degree of accuracy and attention to detail
- External applicants, upon hire, must supply a Criminal Record Search, and a cleared Child Abuse Registry check
**Job Type**: Part-time
**Salary**: $23.05-$27.02 per hour
