Seeking a detail-oriented administrative professional to provide secretarial/clerical support for the Children's Hospital and Managers, with a focus on typing, filing, and scheduling.

Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba.

Under the general supervision of the Manager of Patient Care or Allied Health, Child Health Program, the incumbent is responsible for providing secretarial/clerical support for the Children's Hospital and the Managers.

Duties include:

  • Typing a variety of correspondence, reports, and preparing forms and spreadsheets.
  • Recording and distributing minutes for interdisciplinary committees as required.
  • Prioritizing workload and ensuring work is completed within established time frames.
  • Filing, organizing documents, managing travel reimbursements, managing petty cash reimbursements, scheduling appointments, scheduling orientation days and training days for staff through Outlook, LMS, or other scheduling software.
  • May be required to create, view, enter data, maintain databases, Excel worksheets, or other computer software of the department.
  • May be required to learn and use department-specific software and technology.

Requirements:

  • Two years of previous secretarial experience required.
  • Complete high school education, Manitoba standards required.
  • Successful completion of a recognized secretarial program required.
  • Medical terminology required (pass mark 75%).
  • Formal training in the use and application of ESP staff scheduling software preferred.
  • A combination of education and experience may be considered.

Preferred qualifications:

  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions, and values.
  • Typing 50 wpm required.
  • Demonstrated proficiency in the use of Microsoft Office (Word, Excel, and Access) required.
  • Must have excellent communication, organizational, interpersonal, and decision-making skills.
  • Must be able to function independently and communicate effectively with all levels of staff.

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check, and Adult Abuse Registry Check as conditions of employment.
