**Responsibilities**

**Correspondence and Documentation**:

- Create, edit, and proofread correspondence, proposals, reports, and presentations.
- Compose and prepare letters relating to routine correspondence with CRA. Prepare and file CRA authorizations, T183, T1013, and RC59.

**Client Engagements**:

- Manage and maintain schedules and appointments.
- Assist with administrative aspects of client engagements.
- Manage client communication and correspondence, including answering and directing calls, sending correspondence, and greeting clients professionally.

**Billing and Statements**:

- Prepare client billings and statements as required.
- Provide billing support, including preparing invoices and following up on accounts receivable.

**Office Coordination and Task Management**:

- Coordinate, monitor, and communicate office engagements, ensuring appropriate staff are assigned to tasks and deadlines are met.
- Maintain and refine internal processes and procedures to ensure efficient operations.
- Determine and establish office procedures and routines.

**Client Onboarding and Data Management**:

- Onboard new clients and update existing client entities in the internal database.

**Data Handling and Filing**:

- Compile data, statistics, and other information.
- Perform data entry.
- Format and assemble electronic and/or paper client deliverables, ensuring a high level of attention to detail and timely delivery.
- Scan documents, embed them in electronic files, and manage document transfer securely.
- Enter data and maintain paper and electronic files in accordance with the firm’s document retention and destruction policies.

**Client Interaction**:

- Professionally interact with clients, action communications promptly, and escalate complex inquiries as needed.
- Suggest solutions and innovative ideas to meet client needs.

**Training and Development**:

- Participate in the development of internal systems and processes.
- Stay current with changes in software and processes through training.

**Experience and Background**:

- Minimum of 2 years of administrative experience, preferably in an accounting firm or with-in a fast-paced professional services environment.
- Minimum College diploma with a focus on business management or accounting.
- Proven work experience in project management.
- Knowledge of accounting processes is an asset.

- Strong interpersonal skills with the ability to build rapport with clients and staff at all levels.
- Exceptional customer service skills with the ability to de-escalate potentially difficult situations.

Pay: $38,000.00-$50,000.00 per year
