**Job description**
- Provide overall business and sometimes personal administrative support to our principal broker and Mortgage Underwriter.
- Coordinate communications, meetings, teleconferences, keeping time, taking minutes, and following up on action items
- Manage office calendar, notify attendees of any changes and remind agents of upcoming appointments
- Create and maintain databases for the storage and retrieval of contacts, information, and records and for correspondence with clients, realtors, lawyers, and lenders
- Maintain an organized filing system of paper and electronic documents
- Ensure the office is tidy, well-stocked, and organized optimal workspace
- Maintain records of purchases and other expenses
- Greeting and directing clients in a professional manner
- Perform other related duties as requested
- Provide daily detailed sales reporting to the principal broker, alerting agents on to past due tasks and follow-ups, and optimize and handle delegations
- Managing files from the time they are approved by the lender until all of the lender’s conditions are met on the mortgage approval and the file is ready for funding
- Updating the client mortgage files to outline the outstanding conditions on the file in CRM to keep other team members aware of the relevant details of the active mortgage file
- Submitting the required documentation to lenders to fulfill all outstanding conditions of mortgage approvals
- Preparing approval packages for clients once mortgage commitments are received from lenders
- Ordering and reviewing client appraisals
- Reviewing and satisfying lender and compliance requirements for consent, mortgage commitment, disclosure, amortization, and other relevant documents required for funding the mortgage
- Receiving, reviewing, and approving supporting documentation from borrowers.
- Verifying asset statements to satisfy lender down payment verification requirements

**Qualifications**
- Excellent communication and interpersonal skills, strong verbal and written skills, superior telephone skills while maintaining a professional and composed manner
- Detail-oriented; a high level of execution is required as well as follow-through and problem-solving skills producing high-quality accurate results
- Proven time management skills, with an ability to effectively establish and execute priorities, ability to meet deadlines and handle multiple tasks in a dynamic and changing environment
- Excellent memory and solid note-taking ability
- Ability to work independently with mínimal supervision as well as being a team player that strives to meet team goals
- Ability to handle confidential information and demonstrate a high level of discretion
- Demonstrated ability to build and develop professional relationships with a positive attitude and a friendly demeanor
- Excellent Excel skills and should be familiar with G-Suite (Gmail, G-Sheet, Google Calendar, etc.
- 1 year experience required in finance industry (This is must)

**Job Types**: Full-time, Permanent

**Salary**: From $38,000.00 per year

Schedule:

- 8 hour shift

**Education**:

- Secondary School (preferred)

**Experience**:

- administrative assistant: 1 year (preferred)
- receptionist: 1 year (preferred)

**Language**:

- English Hindi and Punjabi (preferred)
