Academic Support Coordinator

Sarnia, Canada Lambton College Full time

This is a full time support staff Bargaining Unit position reporting to the Program Manager, School of Applied Science, Engineering Technology, and Trades working 35 hours per week at an hourly rate of $36.19.

**Specific Accountabilities**:

- Sources, compiles & analyzes statistical and other data for program planning including program hours, section sizes and number of sections required and common courses in between programs and advises other schools of service course requirements
- Provides input for the creation, maintenance and updating of timetables for the school, utilizing knowledge of program/course delivery and enrolment data
- Sources information for planning purposes relating to student/teacher ratios, advanced standing, transfer credits and retention strategies
- Compiles faculty workload assignments for full and part time faculty, ensuring all courses are offered and staffed appropriately
- Partial Load registry documentation and staffing requirement changes
- Develops, revises, and maintains Standard Workload Forms (SWF’s) for full time faculty ensuring that terms of the collective agreement are followed
- Prepares documentation for hiring, including reference checks, recommendation to hire, classification forms
- Prepares contract information ensuring that the proper rates and account numbers are

assigned for payroll purposes- Under the direction of the academic lead, develops the annual school and operational budget for Dean’s approval
- Monitors expenditures versus budget, (operational and capital) tracks variances and prepares for quarterly budget reviews
- Assures accurate accounts are used on purchases, payroll, capital expenditures
- Advises staff of purchasing and accounting policies and procedures
- Acts as a liaison between various college departments with the school
- Responds to internal and external inquiries using a sound knowledge of college policies, collective agreements and procedures
- Handles student and faculty concerns, referring only extraordinary matters to the Dean.
- Assists in the coordination of Orientation, CIP, Open House, telephone campaigns, information sessions and other marketing activities on behalf of the school
- Develops, maintains and ensures currency of program documentation for the school (includes booklists, text orders, contract information, program maps, web site, academic calendar and brochures)
- Maintains data and prepares reports for various college departments, ex. Programs & Services, KPI’s
- Coordinates departments’ operational plans
- Assists with program and contract proposals
- Prepares summary reports of program data for the school and to share with other area of the college and external bodies - identifies areas of concern with the dean
- Provides analysis and distributes KPI data for the school
- ASC may assign tasks to student employees and follow up to ensure those tasks are completed

**Qualifications**:

- 3 year diploma/degree, or equivalent, in Human Resources Management or Business Administration
- 3 years of experience in a middle/senior level administrative office environment
- Proficiency in Windows, Word, Excel, PowerPoint, Outlook.
- Familiarity with CIS (Ellucian and Colleague) would be an asset
- Progressive experience in academic related positions in a post-secondary institution is strongly preferred
