This role provides customer service and office coordination for our Collingwood Corporate Office. You will be reporting to the Regional Manager, Property Operations.

This position is on-site and will require work hours of Monday to Friday from 8:30am until 5:00pm.

**What you will be doing**:

- Providing information and helpful advice to external customers via telephone, online or in-person. Forwarding information to appropriate functional groups
- Conducting reception duties, greeting, and receiving people at the door, answering the main phone line.
- Coordinating access FOBs for the building, locked key box and dealing with the automatic door system and security.
- Liaising with staff, both on-site and from other regional offices, assisting with various tasks including booking rooms, copying, scanning, filling, assisting with events and activities.
- Co-ordinating incoming and outgoing post, arranging couriers, distributing incoming faxes, and scanning cheques and mail as necessary.
- Providing Health and Safety acknowledgements for the Collingwood office, updating H& S board
- Conducting bank deposits as required
- Coordinating repairs and supplies for the copiers and postage machine.
- Maintaining an office contact list and the “Manager” group on outlook.
- Keeping a running inventory of office supplies, organizing and ordering ensuring are always available. This includes office, bathroom, and kitchen supplies as well as coffee and snacks.
- Arranging for shredding and document storage retrieval and pickup (Shred IT and Iron Mountain).
- Creating and submitting business card orders for properties and corporate employees as well as name plates.
- Point of contact for external vendors, with relation to the office. Coordinating with internal staff and maintaining key distribution.
- Creating requisitions and receiving POs in Workplace for administrative goods and services.
- Controlling the Shore to Slope communication portal,
- Reporting on any building deficiencies in a timely manner, coordinating building issues with building supervisor and manager.
- Undertaking general administration tasks, including mail merge, document preparation, assisting in large print and collation jobs.

**Skills & Abilities**:

- Proficient in Microsoft Office including Outlook, Excel and Word.
- Excellent time management and multitasking skills and the ability to prioritize tasks with mínimal supervision.
- High level of sound and independent judgement, reasoning, and discretion.
- Excellent problem solving, critical thinking and organizational skills.
- Help problem solve with customers over the phone, online and in person
- Detailed oriented and takes pride in ability to produce quality documents quickly and to company
- Reliable transportation is essential.

**Education and/or Experience**:

- High school diploma or general education degree (GED); or equivalent combination or education and experience.
- 1-2 years related customer service experience.
- Prior knowledge in real estate, retirement communities or campgrounds is an asset
