**Administrative Assistant, Receptionist (Permanent, Part-Time)**
**Position Summary**:
The Administrative Assistant will assist staff with the organization, administration, and delivery of program activities.
**Administrative Duties**:
- Reception desk duties including assisting callers by providing program and services information, taking referrals for services
- Administrative support for the Executive Director
- Computer Data entry for multiple programs, preparation and delivery of reports, maintaining statistics
- Mail processing
- Photocopying, laminating
- Preparation of materials for mailing, distribution, meetings, workshops ensuring accuracy of grammar, spelling, punctuation.
- Organization and maintenance of client files from referral to discharge
- Preparation and Maintenance of Program and Organization Manuals, Forms
- Maintenance of program staff schedules
- Maintenance of Office Supplies, including purchasing as required
**Financial Duties**:
- Assist with Accounts Payable and Accounts Receivable
- Maintenance and Reconciliation of Cash including issuing receipts
- Bank Deposits
**Program Support**:
- Organization and maintenance of multiple program resources including preparation, printing, ordering as required
- Referral and Intake processing
- Preparation and Maintenance of promotional materials (flyers, brochures, display boards, social media)
- Meeting, workshop and event coordination, including registration, preparation of materials, set up, arranging catering
- Maintenance of multiple program forms
- Tracking of program expenditures
- Tracking and Reporting of program statistics and activity using spreadsheets and preparing summary reports
- Administrative Support to multiple programs including client appointment scheduling and reporting
- General assistance to Program Staff
- Varied duties pertaining to specific programs which may include shopping, cooking, maintenance of food resources
- Varied site maintenance tasks
**Education**:
Post-secondary education in administration/business
**Skills and Experience**:
- Advanced written communication skills
- Superior client service skills
- Superior organizational skills with keen attention to detail
- Ability to adapt to a changing work environment with variable deadlines
- Flexible approach to hours of work to meet work priorities
- Excellent computer and software skills including Microsoft Office Suite and QuickBooks
- Minimum two years experience in a clinical office environment
- Awareness of clinical professional standards, e.g., privacy and confidentiality, ethics and boundaries
- Knowledge of medical terminology and processes
**Job Types**: Part-time, Permanent
**Salary**: $24.00 per hour
