Position Summary
- Reporting to the Program Manager and Clerical Team Leader, the Clerk is responsible for supporting the Inpatient Paediatric/NICU and Outpatient Paediatric Service departments in a clerical capacity by performing required clerical functions.
- PRIMARY RESPONSIBILITIES:
- Provides excellent customer service to all patients and system stakeholders of both Rehab & Children’s Therapy and Outpatient Paediatric Services.
- Strong customer services skills in supporting the clinic needs of patients and families in a caring, compassionate and kind manner.
- Inquiries and performs appropriately within the departmental policies and guidelines.
- Directing patients to appropriate department waiting areas, liaising with clinical staff and team using initiative and discretion to speed the progress of patients through the department continuously.
- Answers and directs telephone calls and inquiries from other departments, outside agencies, physicians and other sources. Referring inquiries to appropriate person in a timely manner.
- Using Paediatric Outpatient systems and duties attending the department for ensuring the information is accurate and correct.
- Supporting clinic services and works collaboratively with Paediatrician’s Secretary team for optimal patient and family scheduling of clinic visits and medical care needs required.
- Provides team support and optimal scheduling and registration requirements.
- Producing patient charts, requisitions wait list planning, files, CD copies/laser images from PACS for distribution externally.
- Anticipating and ordering supplies to facilitate the smooth operation of the department.
- Accurately and efficiently prepares and distributes reports, policies and procedures in addition to general departmental filing.
- Processing mail, photocopying, faxing, requisitions and other related clerical duties as required.
- Ensuring prompt and safe service that meets accuracy and reliability standards.
- Retrieving existing medical records and documentation for each patient when necessary.
- Works in a collegial manner with management, clinical staff, physicians, volunteers, and other clerical staff from within the hospital as well as other health care facilities to ensure optimal communication.
- Ensures excellent data quality by following all procedures and standards associated with quality data.
- Performs other duties as may be assigned by Program Manager and/or Charge NURSE/TECH.

**Qualifications**:

- Education:
- Ontario Secondary School Graduation Diploma or equivalent is required
- Successful completion of a Medical Terminology course required
- Successful completion of the Hospitals Electronic Medical Record (EMR) training required upon hire
- Completion of Medical Office Administration program is required
- Completion of a recognized post-secondary diploma/degree is required

**Experience**:
- Three (3) years related experience required
- Experience with Children and Youth required

Competencies:
- Demonstrated computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required,
- Demonstrated familiarity with specific departmental systems is required
- Demonstrated excellent communication skills in English (both verbal and written) and interpersonal skills to positively interact with a range of individuals in a variety of situations, which require tact, discretion and confidentiality,
- Demonstrated ability to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges,
- Demonstrated ability to organize and prioritize workload and multitask under pressure,
