**Purchasing Administrator**:
**Job location**: our office in _Ottawa, Canada. We work in a hybrid model where the expectation is to work a minimum of 3 days in the office._

**About the team**:
The Purchasing Administrator provides a wide range of administrative support to the Purchasing team such as requesting quotes, issuing purchase orders, resolution of billing issues, manage open purchase orders, issue maintenance renewal notices, and generation of appropriate reports as required.

This position requires a highly organized, detail oriented, proactive, and adaptable individual who strives to achieve tremendous results. The Purchasing Administrator will be an exceptional communicator, be able to prioritize activities, and complete tasks based on urgency and importance.

**What you will do**:

- Assist purchasing team members with procuring goods for various departments, including obtaining quotes if required.
- Ensures that purchase order documents are properly completed with current terms and conditions of purchases.
- Managing purchases to ensure delivery dates are met.
- Maintain positive relationships with suppliers and internal customers.
- Use procurement software to place, amend and receive purchase orders.
- Process returns to vendors as required.
- Resolve billing issues and purchasing discrepancies between the company and the vendors.
- Send maintenance renewal notices to departments as required.
- Generate purchasing reports as required.
- Manage Open PO report and other financial reporting as required.
- Obtain Visa receipts for reconciliation.
- Contract Renewal Administration which included follow-ups and inquiries on upcoming contract renewals.
- Requesting quotes (as required)
- Issue purchase orders for Low dollar commodities
- Process purchase orders for Professional Services and verify pricing, dates and entities to match the purchase order.
- Other duties as required.

**What we are looking for**:

- Experience working in a purchasing department is preferable in a nonmanufacturing environment. Ideal experience includes software IT organizations, including purchasing, supplier relations, goods receipt/invoice receipt.
- Knowledge and experience using ERP Systems such as Netsuite, Novatus and ServiceNOW is preferable.
- Good working knowledge of Microsoft Outlook, Word and Excel
- Ability to work in a fast-paced environment with multiple demands and changing priorities.
- Ability to work both independently and as a team.
- Strong organizational skills and attention to detail
- Strong interpersonal skills with a demonstrated customer service
- Open and willing to communicate and respond to the needs of internal customers.
- Time Management skills to prioritize competing tasks, both internal and external
