Kitchener, Canada The Humane Society of Kitchener Waterloo and Stratford Perth Full time

Under the direction of the Manager Animal Services or designate, the Licensing & Reception Administrator will assist in the provision of a broad range of animal welfare programs, best practices and protocols that form part of the animal welfare mandate of The Humane Society.

Responsibilities include assisting with the processing of licensing and best efforts to inform and guide customers and the public on animal welfare issues, The Humane Society policies, City and Municipality by-laws in regard to animals.

This position is full time, 36-40 hours a week including weekends. The rate of pay is $16.50 per hour.

PRINCIPLE ACCOUNTABILITIES:

- Work closely and correspond regularly with the Manager Animal Services and fellow team members regarding departmental needs and activity, providing relevant updates on a regular basis to the Manager Animal Services, or designate.
- Work with Manager Animal Services to ensure the contractual obligations are met regarding the licensing of pets in each city/municipality.
- Maintain licenses in a customized software.
- Responsible for assigning and tracking of license tags issued and follow up as necessary.
- Work part of the day on licensing and part on reception duties.
- Answer incoming telephone calls, respond to general questions as well as taking and recording complaints pertaining to by-law enforcement.
- Dispatch of calls to Officers.
- Keep accurate departmental records, maintain their confidentiality, and assist with departmental paperwork as required.
- Work with Manager Animal Services to ensure the contractual obligations are meet regarding to the licensing of pets in each city/municipality.

POSITION REQUIREMENTS:

- Experience in office administration.
- Great attention to detail including proven experience entering data.
- Ability to build and foster effective relationships with staff, volunteers, customers, partners, sponsors, community groups, etc.
- Strong sense of teamwork and collaboration, with the ability to foster the same amongst others.
- Interpersonal skills to deal with multiple and differing behaviours of fellow staff, customers and other organizational contacts.
- Must treat animals humanely, with compassion and concern both on and off the job.
- A strong understanding of animal protection laws and animal welfare issues is preferred.
- Ability to function effectively under stressful and ambiguous circumstances and accept direction.
- Organizational skills to meet time demands and multiple duties.
- Ability to manage multiple and sometimes conflicting priorities and deliver timely results.
- Expected to work weekends to meet Centre requirements.
- Computer literacy - Microsoft Windows and Word, familiar with databases including data mining and reporting, customized Humane Society programs and basic knowledge of typical office equipment.
