Achev is looking for an Administrative Assistant for the Innovations in FinTech program, a collaborative initiative between Achev, Toronto Metropolitan University’s Raymond Chang School of Business, and Lighthouse Labs. The program is open to Canadian newcomer jobseekers with previous education and work experience in Finance or Information Technology. This free program features 7 weeks of in-class/virtual training followed by the possibility of a 12-week paid placement with a participating FinTech organization.

The Administrative Assistant will provide outstanding customer service to clients and administrative support to the Innovations in FinTech project team, including registration assistance, data collection, report writing, and liaising between clients and project staff. In addition, they will support the team with event management.

This role is hybrid at this time, working a minimum of 2 days in office.

**D **UTIES & RESPONSIBILITIES**:

- Receive client and other stakeholder inquiries, assess eligibility, register eligible individuals, and refer ineligible individuals to other programs at Achev and/or community partners.
- Assist with the implementation and execution of the outreach and marketing plan, workshop set-up, arranging guest speakers, refreshments, and representation at job fairs and other events.
- Communicate with project stakeholders, internal/external community partners, and guest speakers as required.
- Execute online client satisfaction surveys and creating survey result reports through Survey Monkey
- Support in creating and editing PowerPoint presentations with high impact visuals.
- Extract data from online tools into excel and develop visually compelling dashboards and reports for clients.
- Book and record virtual meetings via Zoom and other virtual platforms, including the organization and maintenance of meeting-related files.
- Works closely and effectively with the Innovations in Fintech project team to keep them apprised of upcoming commitments and responsibilities, following up appropriately.
- Input and update client information in the Achev database/cloud filing system
- Assist in generating statistical reports for internal and external reporting purposes.
- Track renewal of subscription-based software and distribution of honoraria payments for guest speakers
- Assist the Lead Facilitator with inventory and service acquisitions as per Achev’s procurement policy and protocols.
- Perform a variety of clerical duties including photocopying, confidential record keeping, and document distribution in accordance with company policies and procedures
- Other duties as assigned.

**QUALIFICATONS & SKILLS**:

- College Diploma in Administration, Business, Social Services or equivalent.
- Minimum 2+ years of administrative assistant or equivalent experience in a fast-paced professional environment.
- Not-for-profit or settlement sector experience is an asset.
- Strong oral and written communication and presentation skills, combined with tact and diplomacy.
- Demonstrated ability to work autonomously and establish and maintain effective and cooperative working relationships with clients, team members, employers, and community partners.
- Demonstrated ability to handle various competing demands with attention to detail, while being committed to the highest level of client service delivery
- Excellent technology skills (MS Office Suite, Zoom, Google Suite, DocuSign, Adobe Acrobat, SurveyMonkey, etc.) and aptitude to learn new technologies autonomously.
- Proven ability to act professionally and maintain confidentiality, ensuring sensitivity to the needs and interests of project stakeholders.
- Willing to work evenings and weekends as dictated by program needs.
- Provision of a Criminal Reference Check if required for specific funder/program demands
