Service Administrator

WHAT YOU WILL DO
- Ensure correct sub status of open work orders in Optsy
- Assist with reviewing hours - follow-up with technicians accordingly
- Ensure inspections and tech notes are completed
- Review inspection reports and follow-up with technicians for clarification
- Send completed reports to customers
- Update work in progress (WIP) and other reports as needed
- Coordinate future work to be scheduled with SM
- Assist in scheduling technician reviews and safety observations
- Confirm all parts are on parts shelf for scheduled jobs
- Ensure truck and vehicle safety kit inspections are completed in Fleetio
- Liaise with Supply Chain on the following:
- Equipment requisitions for jobs
- Purchase order requisition (POR’s) for parts and material if requested
- Technician per diem requisition forms
- POR’s for hotels
- POR’s for flights
- Delivery of parts to correct locations
- Record completed training in tech log book
- Ensure Job Hazard Assessments are completed
- Fill out expense reports / monthly visa expenses forms
- Fill out tool allowance forms
- Liaise with helpdesk and technicians to resolve any technical issues
- Comply with all Zelus’ Policies and Procedures, the Occupational Health & Safety Act and Regulations for Industrial Establishments and participate in training programs as and when required
- Other duties as assigned
WHAT YOU NEED
- Minimum of one-year experience in similar role
- Experience in service, manufacturing or heavy equipment is considered an asset
- Strong multi-tasker and excel at coping with conflicting priorities and deadlines
- Eager, positive and a team-oriented approach
- Excellent communication skills, both written and oral
- Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial
- Ability to maintain strict confidentiality
- Flexible and adaptable
