**Summary of Responsibilities**:
**Primary Duties**:

- Serve as the primary liaison and initial point of contact for internal and external stakeholders, ensuring professional and timely interactions.
- Draft and approve written communications, reports, presentations, and spreadsheets.
- Manage the executive's professional and personal calendar, coordinate appointments, and ensure smooth scheduling.
- File and organize both paper and electronic documents, maintaining an efficient administrative record system.
- Order supplies, manage inventory, and replace materials and equipment as needed.
- Stay informed about the organization's structure, policies, goals, and objectives.

**Bookkeeping**:

- Possess full-cycle accounting knowledge of QuickBooks.
- Maintain general ledgers, cash and financial statements
- Payroll - Responsible for all aspects of processing and preparing payroll
- Prepare other statistical financial reports
- Accounts Payable/Receivable/Invoicing/Collection
- Reconciliation of bank statements and credit cards
- Prepare GST/HST tax returns, payroll remittances and annual slips returns
- Maintain and prepare year end documentation
- Maintain and prepare Excel spreadsheets
- Enter purchase orders and post invoices.
- Pay supplier invoices in a timely manner.
- Record cash receipts and make bank deposits.
- Maintain the petty cash fund.
- Manage an orderly accounting filing system.
- Maintain monthly/annual budgets.
- Process bonuses and spiffs promptly.

**Daily Tasks**:

- Manage the executive's daily schedule and set up professional and personal appointments.
- Act as a liaison with individuals and organizations.
- Perform searches, provide information, and offer recommendations.
- Prepare presentations, documents, and other reports.
- Receive and enter purchase orders into the RMS database, communicating and following up with retail stores and vendors as necessary.
- Undertake other assigned tasks.

**Qualifications**:
**Required Skills**:

- Full cycle accounting proficiency with QuickBooks desktop required
- Strong computer and typing skills; advanced/expert level in Microsoft Excel
- Proven bookkeeping experience
- Bookkeeping, Accounting or Business Administration Certificate or Diploma; designation an asset
- Solid understanding of bookkeeping and accounting payable/receivable principles
- Proven ability to calculate, post and manage accounting figures and financial records
- Operation of basic office equipment, including scanners, copiers, and printers.
- High levels of honesty, discretion, and integrity in handling sensitive/confidential information.
- Resourceful, self-sufficient, punctual, and reliable.
- Access to a personal vehicle and a valid driver’s license.
- Proficiency in Chinese is mandatory due to accounts in China.
- Highly adaptable; can work efficiently autonomously or with a team

**Work Arrangement**:

- This position does not support remote work.

**Job Types**: Full-time, Permanent

Pay: $25.00-$28.00 per hour

Expected hours: 35 - 40 per week
