**The opportunity**
The Program Assistant (PA) is responsible for providing program support to the Philanthropy Department and its various programs/projects under the direction of the Senior Director, Philanthropy. The PA serves as a logístical and information focal point for the department, maintaining and improving procedures to manage program information effectively and contributing to the smooth functioning of the department.
**Responsibilities**
- Provide administrative support to the Senior Director of Philanthropy and the Philanthropy Team, including preparing mail, overseeing the team calendar, coordinating meetings, preparing agendas, and documenting meeting minutes.
- Manage program information and provide logístical support to ensure smooth department operations.
- Assist with the preparation and communication of program information, reports, presentations, and other documents as needed.
- Handle internal and external inquiries regarding MODC programs, campaigns, and fundraising projects.
- Process and track finances, including cheques, invoices, purchase orders, and donations.
- Proofread departmental materials and conduct fundraising research as required.
- Prepare program correspondence, reports, and documentation in a timely manner.
- Update the complaint tracking form as complaints are received for the database team.
- Coordinate administrative tasks, including preparing outgoing mail, arranging travel, and managing vacation schedules.
- Support the review of agreements, contracts, annual reports, and other reports as needed.
- Adhere to laws, regulations, and MODC policies and procedures.
- Respond quickly and positively to changing job demands in a constructive manner.
- Provide backup administrative support for the Executive Leadership Team as needed.
- Provide training and supervision of volunteers as required.
**Qualifications and experience**
- High school diploma required.
- Post-secondary education in Commercial/Business College Diploma is required.
- Minimum 3 years of related administrative experience is required.
- Advanced skills in Microsoft Word and Excel.
- Highly organized with strong time management skills.
- Ability to work in a fast-paced environment with mínimal supervision and under pressure.
- Self-starter with the ability to meet tight deadlines.
- Quality-oriented in all work produced and services provided.
- Team player with the ability to accept responsibility, cooperate, and communicate effectively to achieve organizational goals.
- Strong numeric and communication skills (through formal qualifications and/or experience).
- Excellent analytical skills to maintain accurate records, perform data analysis, and manage inventory (e.g., dimes, art).
- Ability to train and supervise volunteers on fundraising projects (e.g., kit preparation, mailings) in a timely manner.
- Ability to work in an organized manner and take initiative.
- Capable of taking verbal and written direction and following through on assigned tasks.
- Flexible and adaptable to the changing demands of the job.
- Strong interpersonal and communication skills.
- Good command of grammar and accuracy with figures.
- Excellent proofreading skills for organizational newsletters, annual reports, and direct mail materials.
