L’Arche Ottawa is seeking an energetic and experienced individual to be its Finance administrative Assistant. The finance administrative assistant ensures all L’Arche Ottawa day-to-day accounting and finance, bank statements and petty cash reconciliation and keep all financial files up-to-date, both electronic or printed. The Finance administrative assistant reports directly to the Finance coordinator.

**Location**:
We currently have five L’Arche houses in Ottawa where people with and without disabilities live together. We have a Community Centre located 11 Rossland Ave, Ottawa, ON, where our administration team works. Our community gatherings also take place in our Community Centre

**Major Duties and Responsibilities**:

- Review and post all accounting entries, payments, inflows and other internal transactions including monthly bank reconciliations and deposits using Sage
- Prepare Purchase Orders
- Manage the Passport funding and invoice PassportOne
- Manage and preparing office petty cash reconciliation
- Keep financial files up-to-date and the financial system updated with recurring transactions
- Assist with review of the household finances and create monthly reconciliation sheets
- Research and recommend specific purchases upon request
- Support with creating and distributing guidelines and best practices
- Assist with budget preparation and reporting
- Assist with preparing the reports to the Ministry
- Assist with preparation for audit
- Assist with gathering of information on specific projects
- Keep up-to-date vehicle maintenance records
- Other duties required by management

**Qualifications, skills and position requirements**
- Post-secondary education required;
- Proficient in the use of Word, Excel and PowerPoint, data bases such as Access, SAGE (Simply Accounting);
- Collaborative, strong analytical, organizational and problem-solving skills;
- Ability to multi-task and work independently;
- Self-motivated and team-oriented,
- Ability to work in a high volume environment and adhere to strict deadlines is a must;
- Good judgment in dealing with sensitive and confidential information in a diplomatic, professional and tactful manner;
- High level of attention to detail, and well developed organizational and prioritization skills;
- A current police check for the vulnerable sector.
