**Administrative Assistant - Reception**
**Position**:
Technology Skills
- Computer skills including knowledge of Windows Operating Systems.
- Working knowledge of Microsoft Office 365.
- Familiar with office equipment, such as fax, copiers, phone systems, etc.
Knowledge/Abilities:
- Clerical - administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology.
- English Language - structure and content of the English language including meaning and spelling of words, rules of composition and grammar.
**Skills**:
- Active listening - giving full attention to what other people are saying, taking time to understand points being made, and asking questions as appropriate.
- Service Orientation - actively looking for ways to help people.
**Work Activities/Tasks**:
The position is always evolving, and currently includes the following work tasks:
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Greet visitors, handle inquiries, or direct to the appropriate person according to their needs.
- The use of the SAGE accounting program to provide invoicing support.
- Assisting A/R with invoicing, including reviewing invoices, scanning invoices, data entry, and ongoing invoicing support when needed.
- Assisting A/P with cheque processing, and incoming bill organization.
- Updating and maintaining the fuel card listing and fuel card distribution.
- Maintaining and updating birthday and anniversary calendar, cards, and notices.
- Process incoming bill of ladings and distribute to the appropriate team members.
- Create, maintain, and enter information into databases.
- Operate office equipment, including scanning documents to your team members, managing phone system, providing technical support for office programs, such as Office 365.
- Provide direct support and assistance to the owner. Including scheduling appointments, taking messages, supplying documents for signature, preparing quotes and bill of sales, updating online hiring sites, supplying fuel rate sheets, and other tasks as required.
- Providing year end support with filing and file transfers.
- Additional tasks required for operation/administration.
**Education/Experience**:
1. Minimum: Administrative Professional Certificate or equivalent.
2. 1 year in an Administrative or Receptionist position
**Schedule**:
- Full-Time
- Monday to Friday
- 9am to 5pm work week (not negotiable)
