Legal Assistant

We are seeking a Legal Assistant who can provides essential legal support, managing correspondence and administrative tasks, preparing documents, overseeing calendars, and maintaining legal files. The incumbent will also coordinate budgets, collaborate with the legal team, ensure confidentiality, handle travel arrangements, and contribute to overall departmental effectiveness.
**RESPONSIBILITIES**:
- Prepares a variety of documents including initial drafts of standard contracts, legal memos, policies, correspondence, and other standard form documents, and presentations, and conducts research and special projects as required.
- Responsible for overall oversight of the legal department, including maintaining department calendar, schedules, and task lists, coordinating task assignments for the department, and diarizing files and calendars of applicable dates/meetings or other work-related deadlines.
- Maintains detailed knowledge of departmental files,
- Responsible for the input and maintenance of department correspondence, documents and other file materials into the electronic database or otherwise as required.
- Coordinates the budget development and review process for the department to ensure process timelines are met, and responsible for scheduling regular budget meetings and for ensuring invoices are properly coded for the Finance team.
- Assists the General Counsel and legal team in collecting necessary information from various departments for purposes of assignments, special projects and meetings.
- Participates in departmental and project meetings for purposes of recording activity, meeting discussions, action items, and outcomes for record retention.
- Coordinates business meetings, and other special functions, as required.
- Makes all travel arrangements and prepares expense claim reports.
- Performs other duties as required.
**QUALIFICATIONS**:
- Bachelor’s degree, college diploma or equivalent certification
- Minimum 3 years post-secondary education
- Legal assistant designation or university degree considered an asset.
Related Experience, Competencies
- Minimum five years' related experience as legal assistant, or other comparable experience in a medium to large corporate law setting or law firm.
- Bilingualism (French and English) will be considered an asset.
- Self-directed and professional individual who can work independently and collaboratively.
- Strong organizational skills with excellent attention to detail.
- Excellent judgment and tact in dealing with sensitive issues and confidential information.
