J.F. CPA, a full-service accounting firm, is seeking a highly motivated and driven receptionist/administrative assistant to join our team. Our firm has been providing accounting and tax solutions to clients in the Greater Toronto Area for many years, and we strive to be the trusted partner of our clients through our commitment to professionalism, responsiveness, and quality services.

**Responsibilities**:
Office Administration:
- Maintain and organize physical and electronic filing systems to ensure easy retrieval of documents.
- Answer incoming phone calls, greet visitors, and direct them to the appropriate staff members.
- Coordinate and schedule meetings, appointments for the accounting team.
- Assist in the preparation and distribution of internal communications, memos, and reports.
- Manage and prioritize incoming and outgoing mail and deliveries.
Client Interaction:
- Serve as the first point of contact for clients, responding to general inquiries and providing general information about the firm's services.
- Schedule client meetings and appointments, ensuring availability of the appropriate staff members.
- Maintain client contact information and update the client database as required.
- Coordinate and assist in the preparation of client financial statements and tax return packages.
Administrative Support:
- Assist with basic bookkeeping and payroll processing tasks, including recording financial transactions and reconciling accounts. Training will be provided.
- Support the accounting team in document preparation, data entry, and report generation.
- Perform general administrative duties such as photocopying, scanning, and filing documents.
- Collaborate with colleagues to maintain office cleanliness and organization.
- Handle confidential and sensitive information with utmost discretion.

Qualifications:
- Excellent verbal and written communication skills in English.
- College diploma or equivalent; additional education or certification in office administration is a plus.
- Minimum 3 year working experience as an administrative assistant in a professional service firm.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Cantonese Speaking is an Asset.
- Exceptional organizational and multitasking abilities.
- Attention to detail and a high level of accuracy.
- Self-motivated.
- Ability to work independently with mínimal supervision.
- Strong interpersonal skills and the ability to interact professionally with clients and colleagues.
- Familiarity with accounting terminology and processes is an asset.
Working Conditions:
- Full-time position, typically Monday to Friday during regular business hours 9:30am to 5:30pm
- Office-based work environment in Markham, ON.
- Occasional overtime may be required during busy season (paid)
**Job Types**: Full-time, Permanent
**Salary**: $20.00-$25.00 per hour
