We seek a highly motivated Administrative Assistant to join our team. In this role, you will be responsible for maintaining and improving data files, working closely with the Vice President to follow up with existing clientele, ensuring the smooth running of tasks, and being the first point of contact for general inquiries. You will assist in the functionality of our company by improving processes and creating automation, improving and implementing communication procedures, organizing paperwork and business documents, and, where appropriate, offering assistance to other key team members.
**Responsibilities**
- Assist the Vice President with follow-up/information sharing/requests to current clientele.
- Ensuring accurate record-keeping in data entry systems (HubSpot).
- Maintaining a “Monthly Projects” report in Excel.
- Other tasks, small projects, or project support as needed.
**Required Skills**:
- Highly proficient in MS Office suite and CRM software (HubSpot experience is a bonus, but it is not required).
- Analytical and problem-solving skills.
- Adaptability, client service, multi-tasking, and confidentiality.
- Highly organized with an ability to prioritize and implement time management.
- Highly proficient in verbal, written, and listening skills.
- Capacity to work as part of a team as well as independently.
- Ability to meet deadlines and attention to detail while ensuring high standards of accuracy.
- Ability to follow instructions provided by the senior leadership team.
- Encourage continuous improvement by identifying needs and suggesting ways of resolving.

**Required Experience**
- Must demonstrate 2-3 years of experience in an administrative position or highly related work experience.
**Location, Commitments & Benefits**
- The permanent full-time position is at our company headquarters in Mississauga, ON.
- Schedule: Monday to Friday, 9 A.M. to 5 P.M.
