**The Opportunity**

Venturis is looking for a highly dynamic and organized **Executive Assistant** to join our fast-paced and innovative environment. This is a **hybrid** role based in **Surrey, British Columbia. **As the Executive Assistant, you will provide first-class support to a member(s) of our Executive Team.

Your main responsibilities will include various administrative and organizational tasks, including coordinating meetings and appointments, managing calendars, compiling data to prepare documents and presentations, and acting as a representative to an assigned executive(s). You will also conduct business with colleagues and external vendors on behalf of the executive(s).

**Essential Duties & Responsibilities**

As the Executive Assistant your key responsibilities will include:

- Manage the executive’s calendar ensuring it is kept up-to-date, including adding events, rescheduling appointments, and providing daily briefings
- Act as a point of contact between the executive and internal/external clients
- Facilitate smooth communication between the executive and other departments
- Handle customer, employee and confidential company information with discretion
- Prepare supplier and customer reports, keeping SharePoint files and other online records up to date
- Communicate and follow up on important tasks, meetings, and dates
- Aid in developing PowerPoint presentations and reports
- Liaise with clients, suppliers, and employees
- Organize meetings, events, and conferences
- Prepare and organize materials for meetings and presentations
- Record meeting minutes and transcribe notes and audio
- Assist with speaking engagements and preparation as required
- Research topics for blog posts, newsletters, or other content
- Publish blog posts and respond to inquiries on the posts
- Create written content where needed
- Book travel arrangements
- Create forms and surveys
- Convert, merge, and split PDF files
- Complete online forms and registrations
- Manage gift cards and thank you notes to suppliers and clients
- Coordinate and oversee projects using Asana, ensuring timely completion and compliance with the executive’s directives

**Required Skills & Qualifications**
- Post-secondary degree in a related discipline preferred
- Prior related experience working as an Executive Assistant in a dynamic company environment strongly preferred
- Related industry experience would be an asset, but not required
- Program management and event management skills required
- Strong technical ability, including excellent working knowledge of Microsoft Office Suite (including Excel, PowerPoint and Outlook), Microsoft Power apps, Adobe Illustrator, InDesign, and Photoshop
- Exceptional verbal and written communication skills
- Strong interpersonal skills and ability to facilitate is essential
- Ability to problem solve, manage conflict, and build relationships with people at all levels of the organization; ability to challenge the status quo in a professional and constructive manner
- Excellent attention to detail and immaculate organizational skills
- Proven time management skills, including calendar management ability
- A quick learner who excels in a fast-paced environment
- Ability to conduct research and create reports and presentations
- Must be able to handle sensitive and confidential information with discretion
- Knowledge of learning principles and processes; prior eexperience developing and implementing L&D initiatives
