Administrative Assistant

**Duties and Responsibilities**:
- Answer telephone calls and greet office visitors in a prompt and courteous manner
- Ensure that requests and messages are handled and directed to the appropriate party
- Provide regular assistance with event planning
- Coordinate travel arrangements for employees
- Process incoming and outgoing mail and deliveries as required
- Maintain and update contact list
- Submit and reconcile expense reports as necessary
- Draft, edit, and compose correspondence
- Data entry tasks
- Coordinate preparations of company training documents and presentations including compiling, editing, formatting, binding, and distributing
- Order and organize meals, and stock food and beverage inventory as required
- Organize meeting rooms and restock meeting room fridges
- Order office supplies, snacks and water as needed
- Order and/or pick up lunches, dinner, coffee for meetings, team events, and for the President, as required
- Organize, copy, and scan documents and files as required
- Plan and schedule meetings, appointments, and reservations
- Partner with Executive Assistant and Fleet manager to arrange maintenance, detailing, and gas fill up of company cars as needed
- Other duties, as assigned
Required Qualifications
- 3+ years’ experience in an Administrative Assistant role
- Advanced knowledge of Word, Excel, Outlook, PowerPoint and Teams
- Valid driver’s license
- Open to working after hours and on some weekends
- Strong written and verbal communication skills
- Professional, accommodating, and resourceful
- Extremely organized
- Strong multitasking and time-management skills
- Can handle sensitive information with the highest degree of integrity and confidentiality
- Strong attention to detail
- Resourceful, can-do attitude, and solution focused
- Comfortable interacting with high-level executives and exercising discretion when working with them
- Ability to work in a fast-paced environment and keep organized
- Able to take direction and follow through to completion
