**The Opportunity**

**Key Responsibilities**
- Responsible for maintaining a clean and professional office space: including kitchen, boardrooms and storage spaces
- Responsible for keeping the office resourced and equipment maintained, working with vendors and service suppliers
- Process assignment of lease sales and sales discharges, ensuring documentation is accurately recorded and deadlines are always adhered to
- Responsible for incoming and outgoing mail and couriers
- Assists with invoicing coding and approval
- Manages scheduling for shared boardroom calendar
- Manages purchases and reconciliation of corporate credit card
- Maintains phone lists, offsite and onsite record management (Iron Mountain)
- Every day administration of parking, event registration, offsite room bookings, and Rogers (corporate cellphone)
- At times may be asked to trouble shoot and report basic technology issues, as well as order and maintain IT assets
- Assist with onboarding and offboarding staff (with the Manager of Corporate Services)
- Assists with Board logistics and material assembly and distribution
- Minute Committee meetings (IT, OHS and Social Committees)
- Other projects and duties, as assigned

**Competencies and Qualifications**
- Bachelor’s degree (or equivalent work experience)
- Diplomatic, discrete with confidential or sensitive information
- Excellent communication skills (written and verbal)
- Flexibility to adjust to dynamic work environment
- Complaint management experience is preferred
- Intermediate to Advanced skills in Microsoft Office is an asset
- Knowledge and experience of UBC is an asset
- Experience with real-estate development and property management organization and administrative systems is an asset
