As a member of the regional Talent team, this role provides analytical, technical & administrative support in relation to Talent management processes, data and documents for firm members in the Ottawa region as well as BLG Beyond.

Key Responsibilities:
The Coordinator, Talent Advisory - Business Services will provide day-to-day HR Administrative support to the regional Talent team and BLG Beyond.

Absence Management:

- Update absence data, when required in Workday
- Send communications to employees and managers explaining the relevant policies and confirming entitlement if required
- Send and receive any required forms from employees
- Create required letters or documents for certain leave types, e.g. maternity memo, secondment letters
- File documentation in electronic employee files, e.g. medical
- Liaise with payroll and benefits where required
- Vacation tracking to reduce carry over & pay out

Payroll Administration, Adjustments and Compliance:

- Complete and send Payroll Adjustment Form to provide adjusted calculations to Payroll
- Compile semi-monthly payroll as per the Firm’s payroll schedule
- Liaise with Payroll and respond to queries as required
- Escalate concerns to the Director, Talent Advisory - Business Services

Recruitment and Onboarding:

- Assist with recruitment processes as needed (creating job requisitions, posting roles, scheduling interviews)
- Initiate background check process and keep Talent team apprised as updates become available
- Create onboarding schedules and coordinate onboarding with various stakeholders

Termination and Off boarding:

- Update termination data in Workday and other off boarding systems
- Send Leaving BLG memo to departing employees
- Digitally file exit interview notes and update exit interview data in Workday, when required
- Create termination letters based on template if required and update info of termination meetings
- Provide payroll and benefits of any final payments

Personal Data Changes and Employee Files:

- Action some business processes into Workday and update data as required
- Create and file transfer letters and/or job change memos if required (based on template)
- Update regional Directory on a monthly basis and post to intranet site
- Update other corporate systems to ensure transferred employee is on boarded and off boarded in local offices (e.g. new location ID, etc.)

Performance Management:

- Generate progress reports to Regional Talent Managers to follow up

Compensation and Bonus Review:

- Support regional Talent team with the annual compensation and bonus review process as required

General Inquiries and Administration:

- Respond to Firm members’ queries on Talent matters, reference to documents and information available
- Escalate cases to Talent Managers or members of the Talent team where required
- Manage queries to ensure responses are provided with agreed timeframe
- Process invoices from vendors for payment
- Manage requests for staff and lawyer appreciation - i.e. gifts and flowers
- Other projects as assigned

Talent Events:
- Support regional Talent team with in-office events as required
- Liaise as appropriate with IT, Catering, Reception and other stakeholders

Key Competencies:

- 2 to 3 years of pertinent experience
- Post-secondary degree preferably with a focus on Human Resources Management
- Good knowledge of Human Resources management processes
- Proficiency in MS Office software (Word, Excel, Outlook) and Adobe
- Bilingualism (French and English), oral and written considered an asset
- Ability to communicate effectively, orally and in writing, with people at all levels
- Excellent interpersonal relations skills
- Ability to produce thorough and accurate work
- Ability to work independently and in a team environment
- Ability to exercise sound judgment and discretion
- Strong client service orientation
- Ability to manage multiple priorities in a fast paced environment
- Excellent attention to detail
- HR designation considered an asset
- Workday experience an asset
- Ability to attend the office 2 - 3 days per week
