**ADMINISTRATIVE COORDINATOR**

**(‘Let’s Get it Done’ COORDINATOR)**

Reports to: Executive Director

Location: 1805 Gaspe Avenue, Ottawa

Hours of work: 37.5 hours per week; scheduled to support programming

Salary range: $22 - $28 per hour

**Overview**

The Manor Park Community Council (MPCC) is a not-for-profit organization providing recreational programming, licensed child care and community events from the Manor Park Community Centre (100 Thornwood Road), Manor Park Public School (100 Braemar Street), and a new satellite location at 1805 Gaspe Avenue.

The MPCC is comprised of a volunteer board of directors, paid employees, and volunteers. Key recreational programs include: sports, fitness, arts programming and day camps. Popular community events include: Skating Party, Pints in the Park, and Rock the Block. Childcare licenses are held for ‘Before
- and After-School in Manor Park’ and Manor Park Child Care Centre.

The position of Administrative Coordinator is newly created to create an ‘on-the-ground’ backbone of organizational and fiscal support for a dynamic and growing team. Supporting multiple program streams at various locations, this position is at the centre of what’s happening. Positive communication skills, strong tech ability, innate organizations skills, and fiscal prudence will touch each pillar of operations.

The Coordinator has responsibility for customer service, record keeping, financial reconciliation, inventory tracking, data collection, and synchronization of information.

Success will be realized by positive customer reviews, shared organizational standards, consistency of data, as well as timely financial accuracy.

**Essential Job Functions include but are not limited to**:
**Administration**
- On-site presence as brand ambassador to residents and participants;
- Set up, and maintain program registration software;
- Support online registration;
- Manage online payment software;
- Reconcile online payments;
- Regularly, solicit program participant and community feedback;
- Support instructor needs;
- Order supplies and equipment, as required;
- Coordinate trades, when needed;
- Answer community inquiries;
- Monitor and reporting deficiencies in the building;
- Answer the phone and responding to questions from the community.

**Rentals**
- Show space to potential renters;
- Maintain rental / use calendar software;
- Prepare paperwork and permits for rentals;
- Accept payments;
- Facilitate equipment deliveries, if required;
- On-site for rentals, including opening or locking the building, as needed, and
- Welcome renters and renter orientation.

**Community Outreach**
- Help organize and support community events;
- Recruit and schedule volunteers, and
- Welcome participants to classes / directing participants to their class.

**Occupational Health & Safety**
- Member of Joint Health & Safety Committee

**Other**
- Follow MPCC Policies and Procedures;
- Understand manuals and documentation associated with employment, and
- Other duties as assigned.

**Requirements**:

- Post secondary education in finance, office administration, project management, or equivalent experience;
- Experience running a busy office;
- Excellent written and verbal communication skills in English and French;
- Outgoing personality;
- Creativity and flexibility;
- Familiarity with registration software;
- Strong competency with technology;
- Excellent time management skills;
- Strong organizational skills;
- Access to a vehicle;
- Ability to work outdoors or lift objects, when required;
- Police Records Check (Level 3, Vulnerable Sector) no older than 6 months of hire date;
- Standard First Aid, CPR C;
- SmartServe, an asset;
- Takes initiative and ‘owns’ tasks;
- Works well unsupervised or with minimum supervision;
- Works on-site in front office, and
- Has a ‘can-do’ attitude and willing to help peers and team members.

**Salary**: $42,900.00-$54,600.00 per year
