Duties and Responsibilities:

The Co-op Program Administrative Coordinator supports the day-to-day administration of the Co-operative Education program.

The Co-op Program Administrative Coordinator has an in-depth understanding of the admission, participation, and eligibility requirements for Co-op programs at both the undergraduate and graduate level.

With a minimum amount of supervision, they fully support the Co-op admission cycle, determine applicants' eligibility, communicate and justify decisions, and respond to student inquiries, form submissions, and participation adjustment requests with speed and tact.

The Co-op Program Administrative Coordinator makes referrals whenever necessary to internal staff members as well as to other departments and stakeholders on campus.

They oversee the collection of students' work term deliverables; this includes, but is not limited to, managing work term course setup and access, liaising with faculty and employers, and communicating and enforcing deadlines.

The Co-op Program Administrative Coordinator functions as a cohesive member of the team, both within the administrative unit, and within other Co-op units.

Qualifications:

The incumbent must possess the following qualifications:

  • Ability to work under minimum amount of supervision
  • Be flexible and adapt to quickly-changing priorities and a fast pace of work.
  • Possess experience in customer service and administration, ideally within a university environment.
  • Be a team-focused individual with the ability to work collaboratively within their own team, with other Co-op staff, and with other units on campus.
  • Have excellent writing skills, multitasking ability, and tact.
  • Have a thorough knowledge of the University's admission and continuation regulations as they pertain to the Co-op Program options, and must learn work/study patterns and possible permissible variations.
  • Have a strong working knowledge of databases and Excel.
  • Be familiar with Banner, Orbis, and the Microsoft Suite of products.
  • Possess excellent communication and inter-personal skills in order to work effectively with students, other Carleton units, and personnel from employer organizations.
  • Ongoing requirements for computer-based work and attendance at meetings.
  • A keen eye for detail in order to complete accurate work during high-volume, deadline-driven periods.
Education and Experience:
The above is normally acquired through the completion of:

  • Three-year diploma or undergraduate degree.
  • Five years of relevant administrative experience, some of which should be in a post-secondary environment.
Assets:

  • Previous experience in a career support or co-op program environment.
