Project Materials Coordinator

The Project Materials Coordinator is responsible for ensuring the timely delivery, receipt, and processing of project materials, including permanent & temporary materials, tools, and consumables items.

This role is the primary contact to maintain effective communication between the production team, engineering, and procurement to ensure materials are purchased in accordance with the required quality requirements while adhering to the project schedule. This is a key role to provide production support while being the liaison with the supply chain management team to ensure the required tools, materials and consumables are ordered and delivered on time to meet the project schedule.

**Note: Due to business needs, this position is required to be fully on-site based at 50 Pemberton, North Vancouver.**

**What you’ll do**
- Enters materials, tools, equipment requests via Procurement Systems (ex SAP, etc.).
- Reviews purchase requisitions and related documentation to ensure clarity and completeness with the description of materials, components or equipment, quantity, adherence to quality assurance requirements, and ensuring authorization from the management team to proceed with the purchase.
- Collaborates with the Production and the Facilities teams to understand the production needs and available resources.
- Works closely with the Procurement team to develop reports and provide updates to the production team as required regarding material deliveries, delivery costs, and expedite costs.
- Maintains effective communication between the production team, engineering, and procurement to ensure materials are delivered in accordance with the quality requirements while adhering to the project schedule.
- Acts as liaison between the store department and Procurement team and to communicate status updates on orders.
- Communicates any potential changes in material specifications between supplier and requestor and initiates system updates, as appropriate.
- Supports Operations personnel with material and tooling logistics, on an as-needed basis.
- Monitors material deliveries in order to assist the procurement and materials management teams identify critical deliveries to site.
- Orders materials and maintains accurate inventory records, including stock levels, consumption rates, and reorder points. Works closely with the store department (welding/tool crib/warehouse team).
- Provides regular updates on parts procurement status and inventory levels to operations Supervisors.
- Assists the Procurement Department with supplier recommendations for materials or services by gathering information from supervisor and analyzing the information.
- Files and maintains official material receiving and vendor documentation in the electronic records management system.
- Arranges materials, tools and equipment in a manner, that it can be identified and picked up according to job needs.
- Communicates vendor performance to procurement services.
- Identifies opportunities to optimize parts and supplies procurement processes, such as vendor consolidation, inventory optimization, and cost reduction initiatives.
- Willing and able to work overtime and weekends, as business needs require.
- Other duties as required.

**What you’ll bring**
- Education in Business Administration, Logistics, Supply Chain Management, or related field is preferred.
- Minimum 3 years of experience in materials management, and logistics.
- Familiarity with shipyard industry work processes, equipment and practices is considered an asset.
- Technical (Engineering or Engineering Technology) background is considered an asset.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments and with external partner.
- Ability to deliver and perform tasks with mínimal supervision.
- CMMS knowledge or experience is considered an asset.
- Strong skills in MS Office package are required.
- Ability to identify Construction Materials and consumables.
- A commitment to continuous improvement, results oriented, with excellent interpersonal and organizational skills.
- Detail-oriented mindset with a focus on accuracy and precision.
- Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.
