Reporting to the Executive Advisor (EA) in the Assistant Deputy Minister’s Office, the Priority Issues Coordinator (PIC) is responsible for developing, implementing and managing processes to ensure accurate, timely and responsive briefings and correspondence are delivered in support of the department’s mandate. The PIC also assists with the strategic management of critical and emerging issues. This key position collaborates with internal and external stakeholders to assess incoming/emerging issues, determine their nature and priority, research and coordinate supporting information, and takes action to develop appropriate responses in a timely and coordinated manner.
The PIC fosters a smooth flow of information within the ADMO, across divisions within the department, and with the Deputy Minister's Office (DMO). This position also conducts environmental scanning to identify potential emerging issues for the EA and ADM. This requires the individual to proactively initiate and coordinate responses and provide value-added information, recommendations and strategic messaging for consideration in a timely manner.
This position is also responsible for the strategic review of ministerial and departmental correspondence, briefings and other materials including Cabinet and information packages.
**The Priority Issues Coordinator will**:
- Manage the ARTS process and lead a quality assurance function by ensuring the division provides high quality messaging that is professional, clear, succinct and in alignment with the department’s business plan and mandate
- Remain current and informed on departmental issues
- Track correspondence (Action Requests) and major divisional initiatives to ensure timely progress as well as follow up on action items identified by the Executive Advisor and ADM
- Establish familiarity with the decision-making process and regularly communicate relevant deadlines and requirements to branch staff within the division
The PIC will act as the primary branch contact for the Assistant Deputy Minister’s Office and other divisional branches. A strong understanding of communications, policy, departmental organization is required.
As a supporting contact for the Assistant Deputy Minister’s Office, the incumbent will collaborate with internal and external stakeholders to assess issues, determine nature and priority, research as well as coordinate supporting information and take appropriate action to contribute to the success of the department.
**Qualifications**:
University degree in Communications, Issues and Project Management, Journalism, Public Relations, Political Science, Public Administration, Public Policy, Business Administration or a related field plus two years of experience in project and issues management. Equivalencies will be considered.
- 1 year of education for 1 year of experience; or
- 1 year of experience for 1 year of education.
- Anticipate future issues and potential impact(s) on ministry mandates/strategies/commitments
- Build productive relationships within and across ministries, the GoA and with stakeholders
- Analyze complex issues and synthesize findings into clear/concise recommendations
- Ability to communicate effectively with a broad range of stakeholders in a politically complex environment
- Facilitate meaningfully interaction with internal and external stakeholders and ensure effective communication is maintained
- Familiarity with concepts and principles of project and change management, communications, and policy development cycle
- Superior verbal and written communication skills
- Proficient use of technology and computer skills including the use of the ARTS, SharePoint and Excel
- Political acumen and general awareness of stakeholder perspectives
- Experience in issues management and/or managing executive support and advisory role
- Experience with project management and change management practices
- Sound knowledge and understanding of:
- Proper English grammar and usage as well as appropriate Canadian Press
- Style guide rules and plain language GoA writing style
- GoA and ministry internal administrative policies, processes and practices
- The Freedom of Information and Protection of Privacy (FOIP) legislation
