What You’ll Be Doing

The Capital Markets arm of CIBC provides corporate, government and institutional clients with innovative solutions to help them raise capital, and grow and invest actively throughout North America and key financial centres around the world. To deliver on its vision to be our clients’ preferred capital markets banking partner across multiple products and services, both in Canada and where our core competencies can be exported. The Capital Markets mission is to bring Canadian Capital Markets products to Canada and the rest of the world, and also bring the world to Canada.

As a Committee and Administrative Coordinator you will fully own and manage various committees within Global Corporate Banking, working with senior leaders by providing guidance on committee requirements and guidelines. The role is accountable for providing administrative and operational support and ensuring timely and effective delivery of assigned projects and committees, contributing to the effective and efficient operation of the business group.

How You’ll Succeed
- Committee Coordination: Coordinate and support ongoing business committee meetings by organizing agendas, managing communications, ensuring quorum, coordinating materials and logging voting results.
- Point of Contact: Act as the point of contact between committee members and the deal teams. Screen requests and identify potential issues to determine priority as well as propose solutions. Plan, organize and follow-up on all details relative to the various committees activities.
- Support Control and Oversight Activities: Coordinate and gather information for audit requirements and other control activities related to the committees. Oversee the committee’s membership as well as their policies and procedures including the annual review process. Provide recommendations on best practices and improvements to the processes and systems, including the Salesforce platform to create efficiencies in support of relationship managers.
- Administrative Duties: Calendar management, travel arrangements, Expense management, booking meetings on-boarding and off-boarding requirements may be required to support committee members and the Corporate Banking business as needed.

Who You Are
- You’re an experienced administrative professional. You have a minimum of 3 years’ experience as a Committee Coordinator, Executive Assistant or Clerical role in a highly professional, confidential and fast-paced environment.
- You’re a strong communicator. You have excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion.
- You’re digitally savvy. You have strong command of MS Office suite including Word, Excel, PowerPoint and Outlook. Adobe, Salesforce and/or other CRM tools are an asset.
- You know that details matter. You understand that success is in the details. You notice things that others don't. Your critical thinking skills help to inform your decision making.
- You act like an owner. You have excellent organizational and time management skills and the ability to multitask. You are able to deal with last minute and urgent requests and prioritize accordingly using sound judgement.
- You’re goal oriented. You are a fast independent learner who shows high initiative to complete tasks and identify issues with minimum guidance.
