**Summary**

The Executive Coordinator of Corporate Affairs and Member Services works closely with the Managing Director of Corporate Affairs to coordinate, oversee, and maintain structures regarding OPSBA members and the Executive Team.

This role contributes to the success of strategic organizational goals and priorities through efficient coordination and support for the Executive Team and OPSBA members. Strong initiative, communication, problem-solving and multitasking skills are required for this role.

**Reporting Relationship**

This position reports to the Managing Director of Corporate Affairs

**Responsibilities**

1) Executive Office Support

Working closely with the Managing Director of Corporate Affairs coordinate the offices of the Executive Team and President including, but not limited to:

- Coordinating timelines for the implementation and reporting of projects and other association activities to the Board of Directors, as assigned
- Updating internal sites, as required
- Working with the Events Team to support for OPSBA conferences and events
- Making hotel and travel arrangements, as required
- Member Services (E.g., monitoring and responding to inquiries, etc.)
- Providing administrative support to Executive Offices (E.g., managing schedules, arranging meetings, responding to messages, etc.)

2) Corporate Governance
- Develop and maintain the OPSBA meetings and events calendar and ensure dates are communicated with appropriate internal and external members
- Coordinate the development, gathering and production of agenda packages for Board of Directors and Executive Council meetings
- Support the review and formatting of reports to the Board of Directors and Executive Council
- Perform all administrative functions associated with Board of Directors and Executive Council meetings (E.g., communications, attendance, record keeping, maintain lists, annual communication, and information collection, transcribe minutes, on-site contact, expenses, etc.)
- Work with the Events Team to coordinate all meeting logistics (E.g., booking locations, food, room bookings, audio-visual, etc.)
- Monitor shared mailboxes and respond to enquiries
- Perform administrative responsibilities for meetings associated with the Annual Meeting of the Association

3) Committee Coordination and Support
- Coordinate logistics for OPSBA committees (E.g, provide guidance, resources and materials for staff who support those committees, etc.)
- Proactively plan for and coordinate meetings (E.g., research, meals, bookings, accommodations, communications, expenses, presentations, transportation and set up of meeting materials, meeting script, logistics, etc.)  for all assigned committees
- Coordinate the maintenance of electronic and hard copy records of OPSBA meetings (E.g., SharePoint site, etc.)
- Attend assigned meetings and transcribe minutes
- Perform other duties as required to support smooth and effective meetings

4) Other Dueites
- OPSBA, by its nature, is a small organization. The work of the Association evolves based on the needs of the public education sector and changes to political leadership
- All staff are expected to perform other duties, beyond those outlined in the core job description, as required, to help support the team in achieving the Association’s strategic objectives and priorities
- The allocation of staff resources is aligned with the stewardship of human resources and individual strengths and skills

**Qualifications, Skills, and Attributes**

The Executive Coordinator of Member Services must have strong organizational, communication, technological, and administrative skills along with a flexible, proactive, and adaptable approach to their work.
- Post-secondary education in business administration, or equivalent, with a minimum of five-years of experience in a similar role
- Strong technical skills including proficiency with various word processing software, particularly MS Office/MS365
- Demonstrates proficient written and verbal communication skills
- Detail-oriented, organized and strong ability to multi-task
- Ability to set and maintain priorities and meet deadlines
- Collaborative team member with a positive attitude and strong work ethic
- Self-directed and able to work with mínimal supervision
- General understanding of Accessibility, Equity, and Human Rights requirements
- Ability to travel across Ontario and occasionally within Canada
- Includes some evening and weekend work

**Compensation**

OPSBA offers a comprehensive compensation package designed to attract and retain top talent. The salary for this position is between $65,500-$78,200 (Commensurate with experience). OPSBA provides a benefits package that includes health, dental, vision, insurance, pension, and a health care spending account.
