**Responsibilities**:

- Organize office and assist the Managers in their respective tasks
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule, phone screen applicants for various positions, plan meetings and appointments.
- Monitor level of supplies and handle shortages
- dealing with correspondence, complaints and queries
- Coordinate with other departments to ensure compliance with established policies
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needed
- preparing letters, presentations and reports
- managing office budgets
- liaising with staff, suppliers and clients
- Implementing and maintaining procedures/office administrative systems
- Organizing induction programs, onboarding for new employees
- Attending meetings with senior management
- Update and organize the filing system and computer files
- Coordinate and organize social office events in collaboration with staff requirements
- Proven experience as a back-office assistant, office assistant, virtual assistant or in another relevant administrative role
- Knowledge of “back-office” computer systems (ERP software)
- Working knowledge of office equipment
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office

**What we are looking for**:

- Must have 1-year experience front-desk (Canadian Experience)
- Must have 1-year administrative experience (Canadian Experience)

**Salary**: $17.00-$18.00 per hour
