Overseas Platform Administrative Assistant

**Primary Purpose of Position**
Reporting to the Admin Manager, the Administrative Assistant provides administrative support to Meridian Corporate Management and Wanfeng Executives based at Meridian’s Global Technology Centre. The Administrative Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Admin Manager.
**Major Responsibilities of Position**
- Coordinates administrative tasks for the Admin Manager including but not limited to: managing calendar of appointments; completing expense reports; composing and preparing correspondence that can be confidential in nature; arranging detailed travel plans, itineraries and agendas; and compiling documents for travel-related meetings.
- Plans, coordinates and ensures the Admin Manager’s schedule is followed and respected.
- Researches, prioritizes and follows up on incoming issues and concerns addressed to Admin Manager including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response.
- Works closely and effectively with the Admin Manager to keep his well informed of upcoming commitments and responsibilities.
- Completes critical aspects of deliverables including drafting letters, compiling and distributing reports and coordinating assignments from the parent company.
- Prioritizes conflicting needs, handles matter expeditiously and proactively and follows through on projects to successful completion.
- Provides administrative support to management team as requested.
- Performs other related duties as assigned by management.

- Supplier to all employees who are required to travel for the company for assistance in travel preparations.
- Customer of external providers for all forms of travel and accommodations.

- Supplier of internal departments, to deliver prompt, concise and correct reporting of gathered information.
- Supplier to all guests, to ensure Meridian is represented in a polite and courteous manner.
**Educational and Certification Background**
**1* Bachelor’s Degree, preferably in administration or Business**:

**2* Bi-Lingual proficiency in English and Mandarin**:
- Essential*
**Personal Competencies**
- Proficient in Microsoft Office with emphasis on Excel.
- Proven record of maintaining confidentiality is essential.
- Maintain welcoming, professional demeanor at all times.
- Exceptional telephone manner and accurate message taking abilities.
- Must be able to multi-task and work to tight deadlines. Ability to prioritize competing tasks. Requires flexible schedule on short notice in order to provide support for senior management.
- Must have excellent time management skills, math and financial skills, strong organizational, interpersonal, and communication skills.
- Fluency in English and Mandarin.
