Administrative Coordinator

Dorval, Canada LUMIPRO INC Full time

Handle all incoming calls.

Take service calls and respond to installation inquiries, providing updates and scheduling information.

Address basic service questions.

Open all service calls in RS and Zuper systems.

Track and scan all RS data weekly to the server.

Handle purchase order (PO) price confirmations and send to the Service Manager.

Manage PO paperwork, obtain sign-offs, and document job photos.

Request pricing information from Service Manager and send quotes.

Manage the closing of all jobs in customer databases, including completion photos, sign-offs, and details.

Confirm booking dates and coordinate with clients.

Book delivery dates with transport companies.

Coordinate with subcontractors (A-Z), obtain quotes, and send to clients.

Obtain subcontractor invoicing and completion information for special clients (Alliance, CBRE, BGIS).

Close RS and Zuper systems once the job is complete.

Place office supply orders.

Arrange Ubers for technicians and staff.

Handle parking arrangements for technicians.

Coordinate hotel reservations.

Arrange FedEx/Purolator/UPS pickups and manage shipments to clients

**Requirements**:
Proven experience in administrative roles, preferably in a service-oriented industry.

Strong organizational and multitasking skills.

Excellent communication and customer service skills.

Proficiency in using RS and Zuper systems (or similar service management software).

Detail-oriented with a proactive approach to problem-solving.

Familiarity with subcontractor coordination is a plus.

Pay: $52,000.00 per year
