The Cardiac Triage Office is an integral department that supports the Cardiovascular Investigations Unit (Cath Lab) in a state-of-the-art Cardiac Catheterization facility in the Peter Munk Cardiac Centre (PMCC) at the Toronto General Hospital. The Cath Lab uses innovative equipment and digital technology serving patients on a regional, national, and international level performing 7,000 procedures a year. The Cath Lab is home to world-renowned clinicians who use mínimally invasive techniques and innovative procedures to treat a wide range of patients with complex heart disease.

As a key member of the Cardiac Triage Team, the Appointment Scheduler works with the Clinical Coordinators to facilitate timely bookings of referrals for patients requiring cardiac procedures. Principles duties include but are not limited to:

- Reviews referral packages for completeness to ensure all required medical information is provided and all necessary lab work and pre-admission tests, special equipment needs and computer documentation is collected. Transmits necessary test results and medical information to patients, physicians and others and follows up for missing information as required
- Answers and makes telephone calls, identifies emergency messages, directs information to the appropriate personnel, and maintains patient privacy and confidentiality.
- Notifies respective inpatient units to confirm bed allocation for admissions when appropriate; adheres to booking bed map guidelines.
- Maintains current computerized waiting list for Cath lab procedures. Monitors procedure cancellations and reschedules according to established policies and procedures.
- Distributes reports of scheduled procedures to physicians and other appropriate staff. Responds to physicians and other inquiries re: status of procedure bookings and/or related inquires. Liaises with Cath Lab staff regarding procedure times and schedules.
- Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards
- Promote and maintain a positive and calming working relationship with team members and a healthy work environment
- Participates in continuous quality improvement activities within University Health Network to enrich and advance processes through the effective use of resources and systems to deliver optimal patient care.
- Performs cross-functional responsibilities and other duties consistent with the job classification, as assigned

Qualifications:

- Grade 12 or recognized equivalent required.
- Completion of a recognized post-secondary secretarial arts program at the certificate level or equivalent.
- Two (2) years related experience in a customer service environment required.
- Excellent ability to work independently and within a team environment required.
- Excellent telephone and customer service skills required.
- Experience working in a health care environment an asset
- Knowledge of medical terminology
- Previous on-the-job computer/word-processing, database software experience required.
- Experience in a Microsoft Office software environment preferred.
- Demonstrated ability towards team building and collaboration
- Effective organizational, time management and communication skills
- Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds and characteristics bring richness to the challenge or situation at hand
- Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance to UHN standards and department policies and procedures
- Exercise initiative and good judgment with ability to multi-task
- Excellent decision making and problem-solving skills
