**Job Description**:
This position is responsible for reception and administrative services at the Brookfield Place Toronto management office. This front-line position will interact with the public and tenants on a daily basis while providing general support to the management office staff.
RESPONSIBILITIES:
- Provide reception services including greeting, screening, directing visitors and telephone calls. Handling telephone messages and receiving/directing incoming mail, faxes, deliveries and courier packages.
- Order office supplies and maintain inventory.
- Maintain tidiness of reception, management office boardrooms and kitchen. Place catering orders on request.
- General administrative duties including preparation of tenant bulletins, memos, construction/renovation letters, and building services requests.
- Assist with the preparation of the annual property budget, prebills, and year-end adjustments, accounts payable, accounts receivable and invoice coding.
- Responsible for the day to day administration of Angus (310SERV) program and creating and distributing monthly benchmark reports.
- Assist with updating tenant records, creating contact lists and reports as required.
- Provide manager support with all meeting management and file management activities including coordinating meetings, sending invitations, booking space, filing, archiving, mail distribution etc.
- Assist co-workers in daily tasks and special projects, ensure deadlines are met for day-to-day duties.
- Other duties as assigned.
QUALIFICATIONS
SERVICE / PERSONAL SKILLS:
EXPERIENCE & TECHINCAL SKILLS:
- Minimum 2 years reception/administrative experience in a corporate environment.
- Excellent telephone manner and customer service skills.
- Aptitude to multi-task and be deadline oriented.
- Ability to work in a fast paced, team-oriented environment.
- Accounts payable experience is preferred.
- Knowledge of Angus and Yardi Property Management Software is an asset.
- Solid typing skills and knowledge in grammar and business writing required.
EDUCATION/DESIGNATIONS/LICENSES:
- Minimum High School Graduate or equivalent.
- College Diploma related field experience preferred.
