Position Information
**Position Title**
- Human Resources Associate (Term Certain)**Position Summary**
- Reporting to the People and Culture Operations Manager, the Human Resources Associate is responsible for providing a broad range of human resources services to the Red Deer Polytechnic community. The HR Associate provides best practice recommendation and guidance to Red Deer Polytechnic (RDP) supervisors in the areas of recruitment, selection, classification, and determination. The HR Associate acts as system expert for RDP’s applicant tracking system (ATS) and classification database while ensuring consistency, internal equity, and training of internal users is upheld.
- The Human Resources Associate role is integral to the effective operations of the Employee and Labour Relations team and will provide operational support and assistance to the Operations Manager, Senior Labour Relations Advisor, and People & Culture Advisors.
- The HR Associate is expected to carry out assigned responsibilities with a high degree of independence, seeking guidance from members of the ELR and management teams when addressing complex situations.**Position Responsibilities**
**Recruitment and Selection**
Coordinates the recruitment process including:
- Monitoring all job postings, such as closing out postings and following up with posting coordinators to add recruitment documentation to posting
- Participating on in-scope selection panels as directed
- Posts all job vacancies on the Red Deer Polytechnic Employment Website using PeopleAdmin ensuring:
- Appropriate authority has been given for the posting
- The budget and position exists
- The correct salary is quoted
- Consistency and professionalism in all employment advertisements
- Ensures the position scope and qualifications in postings align with current Job Information Questionnaire’s (JIQ)
- Advises hiring supervisor to review job description prior to posting and assists as appropriate
- Coordinates external advertising of vacancies as required using appropriate print and web media. This includes researching and recommending available media sources/locations taking into consideration the difficulty to recruit for the position, the breadth of coverage anticipated by the media/location and cost. Monitors and tracks all recruitment spending.
- Ensures correct documentation for closed postings has been uploaded in PeopleAdmin before archiving the posting
- Initiates, monitors and controls user accounts in PeopleAdmin ensuring correct access and departments have been assigned
- Trains new users on PeopleAdmin, recruitment best practices, and RDP workflows while acting as a resources for current users with questions and inquiries
- In collaboration with the People Information Systems Analyst, manages the PeopleAdmin software and acts as System Administrator and PeopleAdmin expert
- Monitors and updates Recruitment information and documentation on RDP Connect and PeopleAdmin Coordinates the RDP’s casual clerical pool list, including recruiting new members when appropriate**Determination and Classification**
- In consultation with P&C Advisor, completes minor Job Information Questionaire (JIQ) and Job Description revisions.
- In consultation with P&C Advisors, creates and disseminates determination and classification memos.
- Maintains all RDP documentation on position determination and classification. Maintains position classification listing for Collective Agreements. Lead system administrator for RDP’s Classification database
- Responsible for housing and maintaining all electronic JIQ documentation, job evaluation records, and classification systems records
**Employee Operational Support**
- Assists with the planning, coordination and administration of the Onboarding program as well as other training and development initiatives and People & Culture events
- Supports the P&C Advisors with the administration and tracking of annual performance reviews including preparing reports for follow-up
- Provides support to the Operations Manager with policy research, development and administration
- Manages the maintenance of People and Culture Information on RDP Connect and Polytechnic website
- Identifies opportunities for process improvements and the adoption of technology to improve efficiency and makes recommendations for the same
- Responds on behalf of RDP by providing job descriptions when asked for by other post-secondary institutes, government agencies, etc.
- Coordinates logistics of employee training sessions, workshops, and development programs.
- Maintains records of training activities and tracks employee participation and progress.
- Ensures a safe and healthy work environment by complying with RDP Health and Safety policies, and programs in keeping with occupational health & safety legislation and regulations
