At Lexus of Calgary, we are renowned for our VIP Service and our Service Team is paramount in contributing to our guests’ experience. We are currently seeking a positive, self-motivated, customer focused and detail oriented full-time Appointment Coordinator to join our team. The Appointment Coordinator serves as an initial contact for our guests via telephone, assesses their needs and responsible for scheduling Service appointments with our guests in a timely manner. This position drives the efficiency of the service department appointments and its operational effectiveness on a daily basis.
**Hours of Work**:
Monday to Friday shifts: 7:00 am - 4:00 pm or 8:30am - 5:30 pm
Saturdays: 9 am - 4 pm (rotating once per month)

**Responsibilities and Tasks of the Role**
- Answer incoming calls regarding service, warranty or outstanding services completed and accurately schedules appointments
- Confirm appointments and reschedule missed appointments
- Follow up with customers who are overdue for service
- Communicates any additional maintenance requirements to customers
- Interacting with guests as well as with all dealership departments in a professional and courteous manor
- Contribute to special project assignments
- Assist the Service Advisors by answering their phone, taking messages, closing out RO’s and booking appointments if needed
- May also handle and process internal work orders as needed
- Must have initiative to do things without direction and work without supervision
- Other duties as required
**Qualifications**
- Excellent command of the English language
- Call center experience would be ideal for this role
- Strong organizational skills and the ability to effectively multitask
- Ability to work independently and part of a team
- We are looking for friendly upbeat people who like talking on the phone and helping customers have the best service experience possible
- Typing
- ability to type efficiently
- Helpful attitude and friendly demeanor
- Fit with our hardworking, community focused, and customer driven culture
- PBS, Infostream and Shortel experience preferred
- Proficiency with Microsoft Word, Excel and Outlook
- Legally entitled to work in Canada by any employer
