Administrative Assistant

**Basic Function**
The Administrative Assistant works with both staff and customers alike, ensuring a smooth experience for all involved. The Administrative Assistant is required to understand product basics, support and assist with all office processes, and help with inventory tracking. This position requires individuals who are friendly, well-spoken, organized, and able to handle multiple requests within a short period of time.
**Specific Responsibilities**
**Customer Service**:
- Answers phone calls.
- Greets all walk-in customers and helps whenever possible.
- Handles payment transactions at the front desk.
- Calls customers to pick up orders.
- Serves customers by providing product and service support.
- Opens customer accounts by recording account information.
- Maintains customer and supplier records by updating account information, and handling orders, invoicing, and receipts.
- Contributes to the team effort by accomplishing related results as needed and offering further assistance whenever available.
**Processes/Procedures**:
Follows all company and safety policies set in place for the position and / or company and / or job site.
**Work Order Support**:
- Assists with filing, scanning, tracking and data entry as required.
- Sorts, enters and tracks Sales Orders and Purchase Orders when required.
- Orders supplies and tracks inventory.
- Enters basic orders for customers into the CRM system.
- Assists with resolving any discrepancies between suppliers, internal staff and / or the client by collecting and analyzing information.
- Helps track associated documents including Quotes, Sales Orders and Purchase Orders to ensure product is ordered and received.
- Accepts and processes payments from clients.
**Service and Product Knowledge**:
- Orders parts required by a customer.
- Interfaces with suppliers and manufacturers when required.
- Update inventory and assist with ordering stock when required.
**Organizational Interplay**:
- Interfaces daily with estimators, customer service, warehouse staff and management regarding estimates, projects, service escalations and stock.
**Job Types**: Full-time, Permanent
Pay: $20.02-$26.00 per hour
Expected hours: 40 per week
