Annis O’Sullivan Vollebekk (AOV) is a privately-owned, independent, multi-disciplined Professional Land Surveying firm based in the Ottawa area, offering clientele a wide range of services in topographic, hydrographic, cadastral, geodetic and engineering surveys. In addition to providing for a full range of land development consulting services, including severances, subdivision design & layouts, and condominiums projects, AOV also plays a key role in creating strata-ownership and easement limits for multi-use developments and the local LRT initiative.

Our employees come to work everyday doing something that they know really matters - they help ensure homes, condos and other new or existing construction are laid out in compliance with designs and drawings and municipal requirements. We also help our clients to understand where their property boundaries are which can lead to keeping the peace between neighbours

The _**Administrative Assistant - Land Survey Researcher**_ supports Ontario Land Surveyors (OLS) and Project Supervisors by gathering information relevant to AOV surveying projects as well as maintaining AOV archives and databases.

**Responsibilities**
- Retrieve Land Survey records and folders from physical AOV archives and electronic server files
- Archive survey Reference plans according to established AOV procedures
- Maintain accurate hard copy and server-based filing systems. Manage new files and ensure timely addition of information
- Maintain the tracking system for active and closed projects
- Manage AOV’s iLookabout account
- Scan surveys and all supporting documentation into the AOV server and save according to naming conventions
- Break down old files as required
- Assist with preparing project files for field crews
- Make copies of plans and prepare packages to be sent to clients and relevant stakeholders
- Order supplies for plotter and copiers as needed

**Required Quailifications**
- Education_
- Office Administration diploma or combination of education and experience
- Experience/Knowledge/Skills/Abilities_
- Two years in a similar role
- Previous experience in a client facing role preferred
- Ability to take initiative and ownership of role
- Strong organizational skills and detail oriented
- Ability to work in an environment with multiple priorities
