Customer Success Specialist/administrative Assistant

About the Role:
Hours: 8:00am to 4:30pm, Monday through Friday. This is not a remote position and requires light customer service (2 hours) remote weekend coverage on a rotational basis.
Duties and Responsibilities:
- Attend to showroom inquiries, including customer pick-ups, in-store transactions, and phone calls
- Provide top-notch customer service for product knowledge and order inquiries (general inquiries, edits, cancellations, shipping, various complaints, etc.)
- Collaborate closely with key players in Design, Product Development, Marketing, and Operations team members
- Assist shipping operations with shipping-related issues and the generation of shipping labels and manifests
- Communicate with key office team members on any inaccuracies and/or misleading information on the website and E-commerce marketplaces
- Prepare timely reports on customer inquiries and issues, prioritizing based on importance
- Create and proofread various documents using computer software such as word processing, presentation, spreadsheets, and databases
- Maintain confidential files and records to ensure corporate compliance
- Prioritize and manage calendars for team members as needed and resolve scheduling conflicts based on changing needs and priorities
- Respond to routine inquiries from internal departments and external sources
- Receive, review, and prioritize incoming communication and follow up on outstanding items
- Interact with contacts to seek and provide information and materials as directed
- Input, update, or collate data for the departments' statistical reporting
- Perform routine office duties such as printing, filing and supplies ordering
- Provide backup support to the office staff as needed
Preferred Qualifications:
- Exceptional communication skills (verbal and written)
- High proficiency with Google Suite (Spreadsheets, Docs, Drive)
- Tech-savvy or willing to learn new technologies (Shipping/Inventory/Order-management software, platforms etc.)
- Extremely organized and able to multitask efficiently with high attention to detail
- You are a natural problem solver and take ownership of your mistakes
- Strong team player, but able to work independently with mínimal supervision
- Quick learner and self-starter with a positive attitude and a passion for supporting both customers and the internal team
