This role plays a crucial part in ensuring seamless day-to-day operations, including data entry, invoicing payables, project file management, payroll administration, and providing general administrative support to our management team. This is a full-time (M-F) on-site Administrative Accounting Coordinator role based in Winnipeg, MB. Please note that the business will be relocating to the Grande Pointe area in late summer/early fall, with no public transit available.
**Key Responsibilities**:
- Ensure accurate tracking of employee hours, job assignments, and receipt alignment
- Manage all invoicing and payables for projects, including monthly invoicing and job costing.
- Accurately calculate employee hours and benefits.
- Effectively handle and document employee credit card expenses
- Ensure timely submission of Certificate of Insurance, Workers Compensation Board documentation, and Statutory Declarations as necessary.
- Maintain organized and up-to-date filing systems.
- Promptly and professionally send job quotes as instructed by the Electrical Purchaser or General Manager
- Assist electricians with requests, such as preparing and printing panel directories as needed.
- Monitor weekly job site schedules.
- Support the social media coordinator in gathering photos for social media, advertising, and website purposes.
- Ensure completion of safety paperwork, site document verification, and provision of training documentation.
- Ensure safety compliance by managing paperwork and providing comprehensive training documentation.
- Responsible for printing blueprints and organizing job manuals.
- Assist in managing tool inventory using Asset Panda.
- Perform other assigned duties as required.
**Requirements**:
- Post-secondary education or certification in the administrative or secretarial field, or relevant experience providing administrative and secretarial support.
- Experience with Payworks, Sage, SiteDocs, and Asset Panda is considered an asset, but not required.
- Completion of CSAM Construction Education to aid in COR audits is beneficial but not required.
- Proven track record of handling confidential and sensitive information with professionalism.
- Strong organizational and multitasking abilities.
- Excellent interpersonal, written, and verbal communication skills are essential. Proficiency in English spelling and grammar is necessary for processing service orders accurately.
- Ability to work both independently and collaboratively within a team environment.
- Working knowledge and experience in the electrical industry is beneficial.
- Math proficiency is a key requirement for success in this role.
**Condition of Employment**
- Must be legally eligible to work in Canada.

**Salary**: $20.00-$25.00 per hour
