Service Scheduler

The Preventative Maintenance Service Scheduler, is responsible for ensuring customer satisfaction and the timely and accurate execution of PM Services. The Preventative Maintenance Service Scheduler, will also be responsible for WIP (Work-In-Progress) administrative tasks for the Preventative Maintenance Service department and supporting the PM Business within the assigned Regions.

**In a typical day, YOU will**:
- Demonstrate safe, environmentally sound and healthy work behaviours at all times, in support of Toromont’s Health and Safety Policies, Programs and initiatives
- Schedule preventative maintenance services for Customer Agreements within the region as well as one-off PM Services required as per consistent alignment with Company targets
- Update and manage Service Scheduler for PM services in a timely and accurate manner
- Execute administration and WIP (work-in-progress) for jobs completed in the Preventative Maintenance Service Department
- Open, structure, review and close PM work orders according to procedures/standard jobs, meeting invoice cycle requirements
- Order parts in DBS using standard jobs
- Send quotes and communicate with customers in order to get the approvals/POs required
- Ensure pre-job hazard IDs are completed prior to work
- Organize work and dispatch technicians
- Assist in processing parts returns in a timely manner when required
- Ensure proper reports such as PM Inspection, PSR, Oil Samples Registration and Pre-job Inspection have been completed prior to closing jobs
- Communicate frequently and effectively with Customers, other PM Schedulers, PM Advisor, PM technicians, PM Supervisor, branches’ Supervisors and PSMs as well as EMS/CSA Planners, Coordinators, Analysts and Supervisors
- Review and close preventative maintenance invoices within the region to meet invoicing cycle requirements
- Provide exceptional communication before, during and after service to ensure customer satisfaction
- Provide back-up to other Preventative Maintenance Schedulers, Advisor and Supervisor
**Must-haves for this role**:
- Post-Secondary Education in a technical/mechanical program with a minimum 3 year experience in service operations would be an asset
- Safety conscious with a technical aptitude and basic knowledge of Caterpillar and competitive product lines
- Highly customer centric and a strong team player with a sense of urgency
- Exceptional communication and interpersonal skills with a proven ability to work effectively within cross functional teams
- Attention to detail, efficient time-management and effective planning skills with the ability to quickly adapt to multiple and often changing schedules and priorities in a deadline driven environment
- Mindset for continuous improvement and self-directed with high integrity and initiative to be proactive in problem solving
- High proficiency in Microsoft Office Applications including Excel, Word and Outlook (experience with DBS and SIS would be an asset)
- Ability to multi-task and work under pressure with mínimal supervision
- Willing and able to work flexible business hours in support of the business
- Experience with WIP administration and service scheduling would be an asset
