- The Events Assistant (Associate level) is a Full-Time position within the Toronto District Council. As an integral part of the District Council team, the Events Assistant serves as a liaison between the District Council, ULI headquarters, and the Toronto land use professionals.The Events Assistant works directly with Toronto staff to support the event activities of the District Council relating to Program Committee, WLI (Women’s Leadership Initiative) Committee, ULI Connect (Under 35) Committees, Outreach Committees, Membership Committee - interfacing with these committees to ensure that all committee work is consistent with ULI’s policies and procedures and that the District Council’s goals and objectives are met.**DUTIES & RESPONSIBILITIES**
- ULI is seeking an individual with an interest in events and land use development issues that can support our ULI team in the day to day activities of the District Council relating to webinar and in person events.**Event Support**
- Manages tech and operations for virtual events and programs on platform (Zoom) to provide a seamless webinar experience
- Support the District Council team in all logistics of meetings and events planning for both webinar and in person events
- Responsible for setting up event registration (netFORUM), on zoom and sending out event notifications/reminders to attendees
- Inputting names / addresses of members in the database, registering guests to the programs, creating signage, badge printing, and assisting in all aspects of event planning
- Support the creation of event materials, such as social media graphics, Powerpoint Slides, agenda, speaker bio documents, signage
- Works with volunteers and staff on onsite logistics at events
- this includes morning and evening events (for in-person events)

**Committee Support**
- Support the District Council team with the event activities relating to committee work (as needed) Programming, WLI, Connect, Outreach, Membership Committee
- Assist in producing and implementing meetings/events and assuring that assignments are carried forth between committee meetings.
- Handle the administrative details of all programs and campaigns
- Attend committee meetings, take minutes, scheduling meetings and other aspects of committee work.

**Administrative Support**
- Assists in event support leading up to events and scheduling of meetings (65 events a year)
- Support the District Council team in assignments carried out between meetings and Programs (such as the UrbanPlan, Curtner Urban Leadership Program and Mentorship Program)
- Assist with scheduling of meetings.
- Manage office supplies and maintain an adequate inventory of ULI District Council materials.
- Support website updates and graphic design (Canva) when required
- Access District Council member and non-member records to produce reports.
- Forward names and addresses of prospective members to the ULI Customer Service Depart.
- Order and store printed materials (i.e., ULI letterhead, masthead, envelopes, badge stock).
- Couriers, errands and other duties as assigned.

**QUALIFICATIONS**:

- 1- 2 years of related administrative assistant experience, preferably in a mission-driven nonprofit, professional services, or real estate/land use setting. Event management an asset.
- Someone with an interest in event planning and land use and development issues.
- Familiar with Zoom Meetings and Events technology required
- Highly developed interpersonal skills to work with senior executives in industry
- Strong organization and time management skills, that can multitask, pay attention to detail, working independently and productively with
