**SUMMARY**

**About the Role - Events Coordinator**

The Event Coordinator is responsible for administrating, organizing, and communicating all Event Sales and Planning information within the Hotel.

This role also supports systems processing, deposits & billing, web-based tools, creation and distribution of event-related documents, including Banquet Event Orders, Resumes, Site & Amenity Forms, Weekly Distribution, Floor Plans, as well as Financial Reports and Final Invoicing.

**Responsibilities include**:

- Administrative support to the Event Sales and Planning Team
- Organizing internal bookings
- Conducting hotel tours
- Answering phones while in the office and providing guidance to clients on behalf of the Event Sales and Planning Team
- Assisting Event Managers with incoming leads
- Prepare group resumes and event orders
- Positive collaboration with hotel departments and vendors
- Educating customers about Hyatt’s planning technology
- Post-event bill review and history reports
- Generating reports

**Qualifications**:

- A minimum of 2 years of related experience in an administrative role within a hotel and/or hospitality environment.
- Strong organizational & time management skills, with the ability to prioritize and pay attention to detail are critical for success in this role.
- Self-directed with a true desire to satisfy the needs of others in a fast-paced environment.
- Polished verbal and written communications, with the ability to provide a warm and engaging presence when assisting Guests & Clients in person and by phone.
- Must be proficient in general computer knowledge, including experience with floor plan mapping software, Envision Sales (or similar), Opera, Web Based Service programs and Micro Soft Office products. The ability to quickly learn and master new software programs is critical.
- Weekends and Holidays may be required, determined by business needs.
