**The opportunity**

**Your day-to-day**
- General administrative duties include, but are not limited to, opening reception, keeping track of who’s in and out of the office, answering and managing incoming calls, liaising with couriers, scanning, faxing, calendar management, meeting room bookings, boardroom set-up, ensuring the cleanliness of boardrooms, ordering lunches and other support as required
- Maintaining the Firm’s phone system, including updates to locals lists, voice mail set-up and changing the Firm’s greetings before each holiday or office closure
- Entering new client information and maintaining up-to-date information in our electronic system
- Reconciling all courier billings
- Ensuring the stationery room is stocked, as well as managing and maintaining the Firm’s stationery supplies
- Ensuring the kitchens are cleaned and stocked
- Communicating with building management to order staff security cards and dealing with them on issues, such as lost cards and access, plumbing problems or burned out lights
- Liaising with our external suppliers and providers

**What we are looking for**
- 1+ years of experience in an office environment as a receptionist is an asset
- Experience in a professional services firm is an asset
- Excellent command of verbal and written English, with proven ability to communicate clearly and professionally
- Strong knowledge of Outlook, MS Word, and Excel
- Excellent client service and interpersonal skills
- Professional demeanor
- Team player
- Self-motivated and willing to take initiative
- Ability to problem-solve
- Willing to be flexible and available for overtime as needed
- Working hours 8:30 a.m. to 5:00 p.m

**You will need to**
- Attend your primary office location 5 days a week
- Occasional extra hours and attendance at events outside the regular workweek
- Must be able to lift up to 25lbs
