Conference and Membership Coordinator

The Ontario Association of School Business Officials is seeking an individual to act as Conference and Membership Coordinator. The Association represents more than 1400 members and is operated by a volunteer board of directors made up of members from various school boards and business area committees from across Ontario. Annually there are several conferences, workshops and meetings that must be planned and executed with precision.
This is a full-time salaried position that enables a blend of work-from-home, office and conference work locations. A wide variety of tasks require an individual who is motivated, self-directed, and focused on deadlines.
Reporting to the Executive Director and a volunteer board of directors, this position is largely self-directed and requires exemplary organizational skills to mange the range of duties assigned to them. Priority-setting and task-oriented/goal-based performance is essential.
**Duties will include**:
Conference Planning:
- Organize and lead approximately 5 large and 6 small events per year with input from planning committees
- Negotiate conference space and hotel accommodations
- Coordinate food and beverage contracts
- Organize tradeshow and exhibitor events
- Book keynote speakers
- Respond to membership inquiries
- Process all accounting related to conferences including accounts receivable and payable
- Recommend the adoption of online platforms and conference software tools to modernize office operations and enhance communications with membership (ie: conference planning, agendas, notices and schedules for events
Membership Duties:
- Enrolment of new members
- Accounting and payment processing for all OASBO membership fees
- Maintenance of membership and committee data
Office Administration Duties:
- Regular coordination with staff and constant communication with Executive Director
- Liaison with all other provincial educational associations and organization affiliates
- Bookkeeping, accounting, and budget reconciliation of all OASBO accounts
**Qualifications**:
- Diploma in office management, bookkeeping / accounting, or a related field; and
- 3 years experience in conference / event planning; and
- 3 years of bookkeeping, billing or budget management; or the equivalent combination of education and experience as determined by the employer.
- A valid driver’s license and access to a vehicle is a requirement for attendance at conferences and meetings.
**Annual Salary**: $60,000-72,000
