Our front desk team plays an essential role in delivering on this mission. As a Medical Office Assistant/Office Manager, you will be the heart of our front desk, ensuring a smooth, organized, and welcoming experience for both clients and our clinical team.

**Position Overview**:
As the Medical Office Assistant/Office Manager, you will perform a mix of essential administrative tasks and management duties. The role will start with standard MOA responsibilities during your training period, and as you transition to full-time Office Manager, you will take on more leadership and supervisory duties.
**Key Responsibilities**:
During Training Period (MOA Duties):
- Reception: Greet and assist patients in a friendly and professional manner.
- Updating Patient Profiles: Manage confidential patient records and ensure they are accurately updated.
- Insurance & Payments: Submit claims to insurance companies, including ICBC, and collect payments.
- Inventory Management: Stock office and clinical inventory, ensuring supplies are always available.
- Clinic Maintenance: Ensure the clinic is tidy and gym equipment is sanitized regularly.
- Scheduling: Coordinate patient and doctor schedules to optimize both time and clinic sales.
As Full-Time Office Manager:
- Team Leadership: Supervise and train the MOA team, ensuring they meet performance standards.
- Shift Scheduling: Manage the shift schedules for the MOA team to ensure coverage during clinic hours.
- Client Engagement: Respond to Google reviews and other patient inquiries.
- Financial Reconciliation: Handle payment reconciliations for third-party insurer invoices, including ICBC.
- ICBC Treatment Tracking: Monitor and track the progress of ICBC treatment plans for patients and clinician tasks.
**Qualifications & Skills**:
Required:
- Minimum of 2 years customer service experience (preferably in a healthcare setting).
- Excellent telephone etiquette and a professional demeanor when speaking with clients.
- Strong written and verbal communication skills.
- Highly organized and capable of juggling multiple tasks in a fast-paced environment.
- Proficient with office tasks such as scheduling, record-keeping, and payments.
Preferred:
- 1 year of experience with Jane.app (preferred, but not required due to our lengthy training process).
- 1 year of supervisory experience in an office or customer service setting.
- 1 year of experience in an office environment, especially in a medical or healthcare-related field.
