**Your Purpose**

Bissell Centre and Boyle Street Community Services are passionate, capable agencies with long histories of working in service to individuals enduring exceptional hardship. We are looking for a proactive and detail-oriented Administrative Coordinator to join our team.

The Administrative Coordinator will be accountable to a joint partnerships team, made up of individuals from both agencies, working together on projects to explore structural change through inclusive and community-based engagement. In this role, you will be the backbone of our office, responsible for managing supplies, troubleshooting administrative issues, and implementing cost-saving measures.

You'll be the go-to person for logistics support, event coordination, and project management, ensuring that deadlines are met, and workflows are optimized. You thrive in a highly collaborative environment and are a team player that is eager to ensure a project or process is smooth sailing but is ready to jump in with solutions when faced with challenges.

Your Accountabilities

**Ensure the smooth functioning of daily office operations including managing office supplies, equipment, and facilities.**

Troubleshoot or escalate basic office administration issues **Monitor and process expenses, researching options as needed and identifying cost-saving opportunities. ** Track, monitor and submit credit card receipts and claims.

**Prepare draft reports, background documentation, and research.**

Provide logistics support in planning and coordinating events, meetings and gatherings **Support with project coordination through maintaining the project management system ensuring deadlines are communicated and met by all relevant parties ** Implementing workflow automation tools to streamline routine administrative tasks and processes, reducing manual effort and minimizing errors **Support in the preparation of meetings including distributing information, coordinating schedules and maintaining calendar invites.**

Prepare meeting schedules, room bookings for meetings, and make reservations for senior management or executive staff in connection with administrative matters.

**Take effective minutes for various meetings with clearly documented decisions, action items and relevant discussion information.**

Facilitating communication between different groups to ensure that information flows smoothly and acting as a liaison, relaying important messages and updates.

**Maintaining effective document management systems through Microsoft Office to organize, store, and retrieve documents efficiently.**

**This includes cloud-based solutions for easy accessibility and collaboration.**

Everyone on the Boyle Street Community Services and Bissell Centre team is expected to actively participate in events during the work week and, occasionally, over weekends and in the evenings (e.g., fundraising campaigns, running community meals, medicine picking, and more).

To be considered for this position, you have:
**A minimum of two years experience in a similar and/or relevant position, with an emphasis on administration in non-profits.**

A degree or diploma in an associated field of study and/or relevant experience; lived experience is an asset.

**A strong understanding of, and appreciation for, Indigenous cultures, traditions, and values.**

An ability to effectively manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment **A willingness to adapt to changing priorities, take on new tasks as needed, and thrive in a dynamic work environment ** Clear and professional communication skills, both written and verbal, to liaise with internal teams, external partners, and impacted communities **Ability to handle sensitive information with discretion and maintain confidentiality in accordance with organizational policies and regulations ** Demonstrated ability to make sound decisions, amidst competing demands. The incumbent will require a Police Check with the Vulnerable Sector and Child and Youth Intervention Check (completed in the past six months). A valid First Aid Certificate or committed enrolment in a First Aid course is also required
