**Coordinator Payroll & Benefits**
ISANS is seeking a full-time **Coordinator, Payroll & Benefits** responsible for processing ISANS payroll and benefits program, managing time and attendance, communicating information to staff as needed and ensuring accurate and timely financial information is available. Reporting to the Director, People & Culture, this position will be responsible for:
**Payroll**
- Managing workflow to ensure all payroll transactions are processed accurately and within deadlines, including suggesting process and workflow improvements
- Maintaining up-to-date staff information within the ADP WFN system
- Updating salaries in ADP, calculating retroactive pay required, and processing any adjustments
- Processing time sheets and substitute forms by submission date
- Submitting semi-monthly payroll to ADP
- Performing payroll year-end process and ensuring all staff receive T4 and/or T4A in a timely manner
- Providing ADP Payroll Reports to Finance and Accounting team for reconciliation and remittance
- Responding to payroll related questions from staff, elevating to Director as needed
- Providing orientation and training to staff on ADP, timesheets, and payroll and benefits options and processes
- Handling all voluntary and involuntary deductions in the payroll system
- Reporting on staffing changes to Director, Operations monthly
- Developing ad hoc financial and operational reports as needed
**Benefits**
- Processing benefits via ADP in an accurate and timely manner
- Responding to benefits questions from staff, elevating to Associate Director as needed
- Arranging annual RRSP education sessions & benefit education sessions for staff
- Maintaining and updating RRSP, group health, dental, accident and serious illness insurance information, and life insurance, liaising with the service providers as needed, and submitting information within ADP system
- Providing benefit costings reports
**Time & Attendance**
- Reporting on OT accrual and paid time off to Supervisors/Managers monthly
- Pro-rating time off entitlements for leaving employees (unpaid leave of absence, and other employment terminations)
- Calculating time off entitlements for annual renewal, updating on ADP WFN system
- Tracking vacation carry-over and updating on ADP WFN system
- Providing employee list of long-term service award, updating additional vacation award on ADP WFN system
**General responsibilities**:
- Backing up other People & Culture team members during absences
- Special projects to enhance People & Culture team operations
- Providing information as required for internal/external reports and proposals
- Reviewing and adhering to ISANS workplace policies and procedures
- Recording all relevant client information on databases in a consistent and timely manner as appropriate to the position
- Participating fully in regular staff meetings, team meetings, training and development and ISANS events
- Performing other duties as required
**Education**:
- University degree or college diploma in Accounting or Payroll and Benefits
- Canadian Payroll qualification (PCP or CPM) preferred
**Experience**:
- 2+ years’ experience in a similar position coordinating and processing all aspects of payroll and benefits
- Advanced working experience with Microsoft Office Excel is required
- Handling sensitive personal and confidential information required
- Using ADP WorkForce Now effectively is preferred
- Working in a diverse, cross-cultural, inclusive environment preferred
**Knowledge**:
- Working knowledge of payroll and labour legislation as well as best practices
- Knowledge of generally accepted accounting principles an asset
**Skills**:
- Strong written and verbal English communication skills
- Ability to work independently and as part of a team
- Strong time management and organization skills
- Additional languages an asset
