Executive Assistant
- 1.0 FTE

**Key Responsibilities**:

- Manages the Executive Director’s calendar, arranges meetings, and prepares necessary materials for the Executive Director’s meetings.
- Assists with, and monitors workflow to ensure timely response and time-sensitive deadlines.
- Manages correspondence and other documents of a confidential and sensitive nature.
- Take minutes of Leadership Team meetings and/or other meetings as assigned by the Executive Director.
- Ensures timely distribution of all meeting materials for Board, committee, working groups, and advisory body meetings.
- Fields requests related to the Executive Director from internal and external stakeholders and manages these appropriately.
- Coordinates travel arrangements and run business errands as needed.
- Coordinates and plans events as needed, including any reservations, catering, and venue bookings.
- Maintains expenses and produces regular reports to facilitate business meetings and decisions.
- Maintains filing systems and organization.
- Document control.
- Ensures policies and procedures related to accreditation and licensing bodies are followed.
- Oversees and coordinates with the Donor & Administrative Assistant to maintain inventory and budgetary controls. Reviews stationary orders place by the Donor & Administrative Assistant.
- Effectively communicates and builds positive relationships with team members.
- Completes other ad hoc projects (process improvement, best practices) at the behest of the Executive Director.
- Conducts all other duties assigned.

**Qualifications**:

- A 2-year post-secondary diploma in a related field (i.e. Business or Office Administration, Accounting, or Human Resources) with a minimum of 2 years administrative office experience.
- A minimum of 4 years in an executive assistant/office administrative role.
- Excellent knowledge of general office processes and procedures.
- Self-motivated and takes initiative.
- Works in a manner that preserves confidentiality and minimizes risk.
- Provides and **maintains** current clear **CYIM** and **Police Criminal Record Checks**.

**Work Environment**:

- Permanent Full-Time position, 40 hours/week, Monday-Friday 8:30am-4:30pm.
- Some flexibility in schedule is required.
- This position is based out of Kids Kottage Foundation Administration Office.
- Forward facing position that requires professionalism and decorum.

**Salary**:

- $52,000 annually.
- Upon completion of a probationary period, we additionally offer a comprehensive, competitive, extended health benefits package.

**Screening Criteria**:
